Job summary

YWCA Columbus is seeking an Advancement Operations Specialist to manage administrative tasks and support the advancement team across donor engagement and mission-focused initiatives. The role emphasizes collaboration, data accuracy, and seamless office operations in a hybrid work environment.

Qualifications

  • Associate degree required in business administration, communications, social services, or related field.
  • Minimum three years of administrative and project management experience.
  • Strong written and verbal communication skills; detail-oriented and organized.
  • Experience with donor management or CRM preferred.

Responsibilities

  • Coordinates scheduling and logistical support for the CAEO and Director of Donor Engagement, including arranging meetings, preparing briefings and materials, reserving, and setting up spaces, and coordinating with internal staff and external stakeholders to ensure seamless execution of all engagements.
  • Supports donor, prospect, and volunteer follow-up, including documenting interactions and maintaining accurate, up-to-date records within the donor CRM.
  • Supports fundraising events and initiatives, including signature events, Women of Achievement honoree processes, and year-end programs (e.g., Holiday Giving). Coordinates event logistics, manages sponsorship and attendee communications, and supports volunteer engagement and donation operations, including inquiry response and gift processing.
  • Collaborates with the Data Management Administrator to accurately enter gifts, pledges, and in-kind donations into Raiser’s Edge CRM, ensuring accurate records and timely donor acknowledgements. Co-facilitates an enterprise-wide CRM migration by accessing needs, evaluating solutions, and overseeing data migration and integrations, and resolving implementation challenges.
  • Builds, segments, and deploys automated email campaigns and workflows within the CRM to support donor engagement and fundraising initiatives, analyzing solicitation performance and donor behavior to inform segmentation strategies and strengthen future fundraising and marketing efforts and outcomes.
  • Coordinate and maintains accurate, up-to-date information, including approved branding and photography, across all fundraising and marketing microsites and software.
  • Organizes and synthesizes information, including meeting notes, surveys, and program data; prepares and distributes materials and reports to support organizational programs and initiatives.
  • Supports office technology needs, including managing audiovisual equipment, coordinating virtual meetings, and maintaining office equipment such as copiers. Serves as a key liaison for the advancement team, interacting with donors, volunteers, and internal stakeholders via email, phone, and in-person engagement, and delivering responsive, professional, and solutions-oriented support.

Job description

The Advancement Operations Specialist will manage and execute alladministrative and clericaltasks and projects fortheadvancementteam. Responsible for coordinating day-to-day office operations.Serves as a collaborator on a cross-section of projects and administrative duties in support of all advancement and mission focused organization efforts.

Location/Travel

Hybrid, May or may not require travel.

Schedule

Monday-Friday, 9am-5pm, some nights and weekends.

Job Responsibilities

Performance Expectations
  • Perform administrative tasks such as drafting letters, managing correspondence, filing, scanning, photocopying, distribution of internal and external reports, and faxing. Utilizes technology efficiently includingbut not limited toMicrosoft Word, Excel, mail merge, survey software, Teams, Zoom, and Outlook, and have strong follow up ability.
  • Responds to general inquiries via phone and email, providing effective and efficient responses to requests.
  • Preparesteams for meetingsincludingcalendar coordination, scheduling, room reservations,and creation of agendas.
  • Assistswith communications related to stewardship. Supportsmailing projects by printing, folding, stuffing envelopes, photocopying,scanning,faxing, etc.
  • Applies an analytical mindset to interpret campaign metrics and constituent behavior, translating data into actionable insights and recommendations that enhance fundraising outcomes. Proactively considers needs of department and takes initiative to move forward.
  • Works effectively and collaboratively with a diverse staff including colleagues, coalitions, community groups, and volunteers in a compassionate, culturally competent professional manner. Demonstrates understanding of and belief in the YWCA Columbus mission and advocacy agenda positions and commits to working collaboratively in a team environment.
Qualifications
  • Education: Associate’s degree in business administration, communications, social services, and/or related field.
  • Experience: Minimum three (3) years administrative and project management experience required. Excellent knowledge and use of Microsoft office products, including Excel and PowerPoint.
  • Required Knowledge, Skills, and Abilities: Strong communication (oral and written), organizational, analytical, and critical thinking skills; detail-oriented, energetic, adaptable, and customer-focused; self-directed with the ability to collaborate with diverse individuals and teams; skilled in presenting accurate data and managing multiple projects; proficient in Microsoft Office and general computer skills.
