This role blends front-line member service with executive-level administrative support, making it a great fit for someone who's organized, discreet, and genuinely enjoys helping people.What You'll DoServe as a warm, professional first point of contact — answering calls and resolving member questions, concerns, and registration issuesSupport members with online registration, program transfers, and cancellationsProvide high-level administrative support to the CEO, including managing confidential correspondence and files with discretion and sound judgmentPrepare and maintain minutes for Board of Directors meetingsManage office operations — ordering supplies, stationery, and overseeing copier/phone maintenance and serviceEnter and maintain program data in Daxko, partnering with Program Directors to ensure accuracy and consistencyStep in to support the Front Desk, Welcome Center, and prospective member tours as neededAssist with fundraising initiatives and special events, including the Annual CampaignOversee communication between the North Entry and desk/pool teamsInterview, hire, schedule, and train North Entry and outdoor pool card-check staff; approve time cards and provide schedule coverage during emergenciesMonitor departmental safety and risk items, reporting concerns to your supervisor and the Risk ManagerTake on additional responsibilities as business needs ariseWhat You'll BringHigh school diploma plus 2–3 years of administrative or supervisory experienceNonprofit experience is a plusComfort working across platforms like Daxko, Google Workspace, and PaycomStrong technical aptitude and up-to-date computer skillsA proactive, can-do attitude with genuine empathy for people from all walks of lifeExcellent follow-through, time management, and the ability to juggle competing prioritiesOutstanding phone and interpersonal communication skillsSolid understanding of (or ability to learn and explain) YMCA policies and proceduresMust pass a criminal background checkPhysical Requirements: Primarily desk-based work involving prolonged sitting and computer use; ability to lift up to 15 lbs.
