Job summary

The Twelve Thirty Club in Nashville is seeking a Membership Coordinator to manage the Honorary Member program, oversee membership administration, relations, and event coordination, and serve as the main contact for members and their guests. The role requires a hospitable, organized, proactive touch and a passion for delivering exceptional hospitality.

You will maintain the CRM, handle onboarding and renewals, coordinate communications, and support the planning and execution of member events

Responsibilities

• Serve as a welcoming and professional point of contact for Honorary Members and their guests.
• Maintain and update the membership CRM with accurate records and preferences.
• Coordinate new member onboarding, renewals, and invoicing.
• Assist with member communications, inquiries, and feedback to ensure a positive experience.
• Support member events, invitations, RSVPs, logistics, and on-site coordination.
• Collaborate with internal departments to ensure seamless member experiences and consistent service standards.
• Assist the Director of Membership with additional initiatives and departmental responsibilities as needed.

Who You Are:

The Membership Coordinator plays an integral role in the daily operations and member experience of the Honorary Member program at The Twelve Thirty Club. This position combines membership administration, member relations, and event coordination, serving as a key point of contact for members and their guests. The ideal candidate is personable, highly organized, proactive, and passionate about delivering exceptional hospitality while building meaningful relationships and supporting the continued success of the membership program.

What you’ll do:

• Serve as a welcoming and professional point of contact for Honorary Members, prospective members, and their guests, providing personalized and attentive service.
• Build and maintain strong member relationships through consistent engagement, thoughtful communication, and a visible presence to Honorary Members throughout The Twelve Thirty Club.
• Assist members with reservations, special requests, and personalized experiences, anticipating needs and coordinating with internal departments.
• Respond promptly and professionally to member inquiries, requests, and feedback, ensuring a positive member experience.
• Maintain the membership database and CRM, ensuring accurate member records, account information, and preferences.
• Coordinate new member onboarding, membership renewals, invoicing, and payment follow-ups.
• Monitor the membership inbox and manage member communications, including birthdays, anniversaries, and special recognition.
• Coordinate prospective member inquiries, meeting arrangements, and follow-up communications.
• Assist with membership reporting, data tracking, and administrative organization.
• Support the planning and execution of member events, including invitations, RSVPs, logistics, and on-site coordination.
• Maintain the member programming calendar and assist with the Club's member portal.
• Collaborate with internal departments to ensure seamless member experiences and consistent service standards.
• Support the Director of Membership with additional initiatives and departmental responsibilities as needed.
