Events Team Coordinator

Full-Time | Pay Range: $23 – $25/hour

About The Role

Copart is seeking a proactive and detail-oriented Events Team Coordinator to support our Meetings & Events team. The ideal candidate is a “take-charge” professional who can manage administrative tasks and provide hands-on support for meetings and events of all sizes. This role requires strong organizational skills, a customer-focused attitude, and the ability to build relationships with both internal and external stakeholders. While primarily office-based, occasional evening and weekend work and minimal travel are required to support larger events.

Key Responsibilities

You will be responsible for handling a variety of administrative and logistical duties, including but not limited to:

  • Managing team calendars and office supplies
  • Maintaining accurate records of all event expenditures and ensuring timely vendor payments
  • Reconciling monthly purchasing card (p-card) statements
  • Researching and recommending event venues and promotional products
  • Coordinating logistics for meetings at the company-owned ranch, including:
  • Menu planning
  • Activity scheduling
  • Room setup
  • AV requirements
  • Communicating with internal teams
  • Ordering and tracking event-related shipments
  • Sorting and distributing promotional items (swag)
  • Creating and monitoring online event registration portals
  • Assisting with menu selection and managing attendee lists
  • Using mail merge to send hotel confirmations and create name badges and labels
  • Printing and assembling event materials such as name badges
  • Reviewing hotel Banquet Event Orders (BEOs) for accuracy
Qualifications
  • High School Diploma or GED required; college degree preferred
  • Minimum of 2 years of experience in event coordination
  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint
  • Strong internet research skills
  • Excellent organization, time management, and prioritization skills
  • Ability to thrive in a fast-paced environment
  • Willingness to work evenings, weekends, and travel occasionally (a few times per year)
  • Energetic, self-starter approach to event planning and execution
  • Strong communication skills, both written and verbal
