Aptive Resources is seeking a Medical Support Assistant to support the Department of Veterans Affairs across the Rocky Mountain Network (VISN 19). You will be the administrative backbone of the care team, ensuring Veterans are scheduled, seen, and followed up without gaps.

Responsibilities include scheduling, EMR processing, and coordinating with clinical staff to resolve issues while maintaining HIPAA-compliant records. A strong emphasis on customer service and accuracy is required.

Qualifications

  • High school diploma or equivalent.
  • Experience in a medical office, clinic, or hospital admin role; scheduling preferred.
  • Knowledge of medical terminology and electronic medical records.
  • Strong customer service and communication skills with Veterans.
  • Must pass a federal background investigation (Tier 1/Low Risk).
  • U.S. work authorization; ability to obtain VA PIV badge.

  • Track and respond to electronic orders, consults, and items in VA EMR.
  • Support care and treatment of Veterans through accurate administrative processing.

About the Role

Aptive Resources is hiring Medical Support Assistants to support the Department of Veterans Affairs across the Rocky Mountain Network (VISN 19). As an MSA, you'll be the administrative backbone of the care team — making sure Veterans get scheduled, seen, and followed up on without things falling through the cracks.

What You'll Do
  • Schedule patient appointments and coordinate calendars for providers and clinics
  • Track, review, and respond to electronic orders, consults, and other items in the VA's electronic medical record
  • Support the care and treatment of Veterans through accurate, timely administrative processing
  • Communicate with Veterans, clinical staff, and other departments to resolve scheduling and consult issues
  • Maintain accurate records in accordance with VA policies and privacy requirements (HIPAA/Privacy Act)
Minimum Qualifications
What You'll Need:
  • High school diploma or equivalent
  • Prior experience in a medical office, clinic, or hospital administrative role (scheduling experience strongly preferred)
  • Working knowledge of medical terminology and electronic medical records (VistA/CPRS or Cerner a plus)
  • Strong customer service and communication skills — you'll interact with Veterans daily
  • Ability to pass a federal background investigation (Tier 1/Low Risk — no security clearance required)
  • U.S. work authorization; must be able to obtain a VA PIV badge
