Job summary

SANTÉ Aesthetics & Wellness in Portland, OR seeks a Clinical Manager to oversee daily clinical operations and lead our aesthetic care team. This role partners with Medical Director, Clinic Director, injectors, aestheticians, and admin staff to maintain high standards of service, safety, and efficiency.

The ideal candidate is organized, energetic, and detail-oriented, with Medical Spa experience and proficiency in EMR systems.

Qualifications

• Experience in a Medical Spa, Dermatology, or Plastic Surgery setting is strongly preferred.
• Exceptional attention to detail in compliance, inventory, and patient documentation.
• Proven ability to work collaboratively in a multi-disciplinary team.
• Ability to work non-traditional hours including evenings or weekends for events.
• Proficiency with EMR systems and scheduling software.

Responsibilities

• Oversee daily clinical workflows to ensure efficient treatment schedules, provider readiness, and high-quality patient experiences.
• Lead, mentor, and onboard clinical team members while maintaining compliance and documentation standards.
• Coordinate with Medical Director, Clinic Director, injectors, aestheticians, and admin staff to optimize scheduling and throughput.
• Support occasional after-hours VIP events, open houses, and promotional gatherings.

Position Overview

We are seeking a highly organized, energetic, and detail-oriented Clinical Manager to oversee daily clinical operations and lead our aesthetic care team. The ideal candidate thrives in a fast-paced environment, possesses strong leadership abilities, and is a dedicated team player who takes pride in seamless operations and superior patient care.

In this role, you will work closely with our Medical Director, Clinic Director, injectors, aestheticians, and administrative staff to maintain high standards of service, safety, and efficiency. Additionally, because SANTÉ regularly hosts client appreciation gatherings, VIP launches, and promotional evening events, this position requires a flexible schedule to support occasional after-hours events.

Key Responsibilities

Clinical Operations & Quality Control

• Oversee daily clinical workflows to ensure efficient treatment schedules, provider readiness, and high-quality patient experiences.
• Manage clinical inventory, medical supplies, equipment maintenance, and vendor ordering.
• Ensure full compliance with OSHA, HIPAA, state licensing standards, and clinical safety protocols.
• Maintain accurate electronic medical records (EMR) and clinical documentation.

Leadership & Team Collaboration

• Foster a collaborative, inclusive, and positive team environment where all staff members feel supported.
• Supervise, mentor, and assist in onboarding and training clinical team members.
• Partner with clinic leadership and providers to optimize client appointment scheduling and clinical throughput.

Event Support & Community Engagement

• Participate in planning, organizing, and executing occasional after-hours VIP events, open houses, and promotional gatherings.
• Maintain flexibility to adjust working hours to accommodate evening/weekend event schedules.

Qualifications & Skills

• Medical Spa Experience: Prior experience in a Medical Spa, Dermatology, or Plastic Surgery setting is strongly preferred / highly desired.
• Detail-Oriented: Exceptional attention to detail in clinical compliance, inventory tracking, and patient documentation.
• Team Player: Proven track record of working collaboratively in a multi-disciplinary team environment.
• Flexible Schedule: Willingness and availability to work non-traditional hours, including occasional evenings or weekends for special events.
• Technical Skills: Proficiency with Electronic Medical Record (EMR) systems (e.g., Aesthetic Records) and scheduling software.
