Job Profile Summary

This role focuses on providing administrative and business support to the organization to achieve operational goals. Responsibilities include producing documents, recording, sorting, filing information, handling mail, preparing routine reports, making travel arrangements, scheduling appointments, responding to inquiries, data entry, and operating office equipment. It is an organizational support or clerical role, often operating in a 'hands-on' environment, primarily delivering support services under supervision. The role requires basic knowledge of procedures and tools, obtained through work experience or vocational/technical education, and involves routine problem-solving and communication that may require explanation or interpretation.

Job Overview

This position supports daily secretarial tasks, routine office operations, supply ordering, and other operational duties for a single site. It involves planning, organizing, assigning, and directing staffing needs, including scheduling work for physician support assignments.

Minimum Qualifications
  • High School diploma or equivalent
  • One (1) year of experience in healthcare, including staffing and scheduling
Preferred Qualifications
  • Associate’s or Bachelor’s degree
  • Three (3) years of healthcare experience, including staffing and scheduling
  • Medical transcription experience
Duties and Responsibilities

The following are general duties; other responsibilities may be assigned:

  1. Handle routine administrative duties for the Medical Office.
  2. Verify insurance on registrations and educate patients on their insurance status.
  3. Complete insurance authorizations and pre-certifications for procedures.
  4. Communicate with patients regarding financial responsibilities and collections.
  5. Secure and post monies collected, ensuring accuracy.
  6. Schedule appointments for various visits and procedures.
  7. Maintain office records and files, reviewing for accuracy.
  8. Obtain insurance billing information and stay updated on policies.
  9. Act as receptionist, greeting visitors and maintaining a professional environment.
  10. Route patient documentation appropriately.
  11. Manage patient tasks, including scheduling follow-ups.
  12. Order and maintain office supplies and equipment.
  13. Register patients in the Practice Management System.
  14. Retrieve and submit medical documentation for insurance review.
  15. Communicate with patients, physicians, and insurance companies about authorizations.
  16. Determine procedure costs and educate patients on coverage and payment options.
  17. Collect payments, provide receipts, and reconcile collections.
  18. Turn in monies to the cashier and balance records.
  19. Provide patient education regarding office guidelines.
Physical Requirements
  • Frequent sitting, occasional standing, lifting 10-15 lbs.
  • Exposure to office-related dust and discomforts.
  • Manual dexterity for keyboard use.
  • Ability to see and read reports and screens.
  • Ability to hear instructions from staff.
