The Clinical Coordinator acts as a liaison between their assigned physician and patients/families, staff, primary care physicians and other specialists, attorneys, vendors, etc. This role ensures that physician schedules are in accordance with their protocols/needs and that the schedule provides for a smooth and effective delivery of patient care. It also involves coordinating incoming physician-related phone calls and assisting the physician in personal responsibilities to meet professional requirements.
Responsibilities
- Physician Liaison Activities
- Responds to incoming phone calls and determines the best method for resolution of caller’s needs through the identification of the most appropriate respondent (physician, physician assistant, clinical/nursing staff, etc.). Channels requests appropriately to ensure resolution.
- Secures charts related to diagnostic tests, therapy reports, etc., and discusses issues with physicians. Relates physician information back to patient/requestor. Completes chart notes as appropriate.
- Appointment Scheduling
- Registers and assists in scheduling appointments for new and established patients.
- Arranges legal depositions, ensuring patient records are available prior to the deposition.
- Correspondence/Clerical Functions
- Prepares charts before clinic hours; ensures they are complete with all documentation needed by the physician. Obtains test results, dictation, or other documentation before clinic hours.
- Sends prescriptions, return to work notes, gym notes, etc., as requested.
- Composes and types non-patient visit letters/correspondence for the physician.
- Handles physician/department mail.
- Provides updates to workers’ compensation carriers on patients.
- Completes forms for handicap parking permits, jury duty, school/physical education excuses, disability, etc.
- Prepares physicians on call schedules and coordinates schedule changes.
- Secures releases and copies of medical information for patient pick-up, monitors report mailing.
- Maintains physician credentials and CME credits files.
- Other functions as assigned, including special projects and securing insurance pre-certifications.
- Handles payments related to depositions and subpoenas, completing forms for the Revenue Cycle department.
Requirements
- High school diploma or equivalent.
- Typing speed of 40 wpm with good spelling.
- Computer literacy and knowledge of business software.
- Basic medical terminology knowledge.
- Proficient in verbal and written English communication.
- Excellent phone and interpersonal skills.
- Ability to work in a fast-paced environment.
- Helpful attitude and good sense of humor.
- Valid Illinois Driver’s License.
Physical Requirements/Work Environment
- Primarily indoor work.
- Extended periods of sitting.
- Ability to hear and speak English effectively.
- Repetitive hand movements for data entry.
- Occasional outdoor travel via automobile.
Salary
$21-$25 per hour, based on experience
