Doctors of Physical Therapy is seeking a full-time Billing Claims Specialist to join our growing rehabilitation company. This on-site role supports accurate medical record handling and billing workflows, ensuring compliance with HIPAA and privacy regulations.

The position requires a detail-oriented, reliable team member who can multi-task in a fast-paced healthcare setting, communicating effectively with clinics, payers, and internal departments.

Responsibilities

• Process outgoing medical record requests in a timely and accurate manner.
• Retrieve medical records from EMR systems, provider portals, clinics, and other approved sources.
• Review records for completeness and ensure documentation is included before submission.
• Respond to requests from internal departments, payers, attorneys, patients, and other authorized parties.
• Follow up on outstanding medical record requests and document status updates.
• Maintain accurate tracking of requested, received, and submitted records.
• Ensure all activity complies with HIPAA and privacy regulations.
• Protect patient confidentiality and handle PHI appropriately.
• Communicate with clinics to resolve missing or incomplete documentation.
• Monitor queues, emails, and chats to meet timeframes; escalate when needed.
• Maintain productivity and quality standards; assist with department projects.

Experience and Skills:

Hours: Monday-Friday 8am - 4:30pm or 8:30am - 5pm

Position Summary:

The Medical Records Specialist is responsible for accurately managing, organizing, retrieving, and processing patient medical records in accordance with company policies, payer requirements, and applicable privacy regulations. This role requires strong attention to detail, organization, communication, and the ability to work efficiently in a fast-paced healthcare environment.

Key Responsibilities:

• -Communicate with clinics and internal departments to resolve missing, incomplete, or incorrect documentation.
• -Monitor assigned work queues, emails, team chats, and other communication channels to ensure requests are completed within required timeframes.
• -Escalate concerns or delays to leadership when necessary.
• -Maintain productivity and quality standards established by the department.
• -Assist with additional departmental projects and responsibilities as needed.
