Hubble AI is seeking a hands-on Operations professional to own medical-record requests from submission through receipt. You will call provider records departments, maintain detailed case notes, and follow through until each request is resolved.

Responsibilities include submitting requests, following up via phone, fax, email, or portal; resolving issues; tracking status; and escalating privacy questions when needed. Seattle-area candidates preferred.

Qualificações

We’re looking for someone to own medical-record requests from submission through receipt. This is a hands-on operations role for someone who is comfortable calling provider records departments, keeping detailed case notes, and following through until each request is resolved.

You will:

• Submit requests and confirm they reached the right records team.
• Follow up by phone, fax, email, or provider portal.
• Resolve routine issues such as missing information, incorrect routing, and incomplete deliveries.
• Track each request’s status, last action, and next step.
• Review received records against the original request and flag missing items.
• Escalate unusual authorization or privacy questions to the Hubble team.

Qualifications

Required

• At least two years of hands-on experience with medical-record retrieval, release of information, health information management, or a closely related workflow.
• Experience communicating directly with hospitals, clinics, or records vendors about outstanding requests.
• Strong organization, clear written notes, and persistent follow-through.
• Ability to handle sensitive patient information carefully and follow established privacy procedures.

Preferred

• Experience working at a records retrieval company, healthcare provider HIM department, health plan, or law firm.
• Familiarity with patient authorizations, provider portals, and common reasons records requests get delayed or rejected.
• Experience managing a high volume of requests independently.

Role details

Part-time contract role. Seattle-area candidates are preferred. Availability during Pacific business hours is important for provider follow-up.
