Job summary

Acacia Health Center in Phoenix, AZ is seeking a Medical Records Assistant to organize, file, and maintain resident health records in electronic health record systems and paper formats. You will schedule resident appointments and transportation, communicating with residents, families, and staff, and ensure records comply with privacy laws and regulations.

As the Medical Records Assistant you will be responsible for scheduling resident appointments and setting up transportation as appropriate, communicating with residents, families and staff. This position maintains the medical records system in compliance with corporate, state and federal regulations ensuring proper recording, filing and upkeep of the Health Services residents’ medical records. What you'll do:

• Organize, file, and maintain comprehensive medical records in electronic health record (EHR) systems and paper formats
• Retrieve and prepare patient files for appointments, procedures, or audits promptly and accurately
• Ensure all medical records are complete, up-to-date, and compliant with privacy laws and organizational policies
• Assist healthcare staff with documentation requests, data entry, and record updates using EHR platforms
• Scan, index, and digitize paper records to ensure seamless electronic access and storage
• Verify patient information for accuracy during record updates or data entry processes
• Support the confidentiality and security of all medical records by following strict privacy protocols
• Scheduling appointments and transportation to appointments for residents
• Communicating with residents, families and staff regarding resident appointments
• Assisting with proper documentation for resident appointments

Who you are:

1. EDUCATION and EXPERIENCE:
   1. Associate degree or certification in Medical Records preferred. High school graduate required.
   2. One (1) years’ experience working in health care or medical records preferred
2. LANGUAGE SKILLS: Ability to read, write and speak effectively in English.
3. MATHEMATICAL SKILLS: Basic mathematical skills required.
4. REASONING ABILITY: Requires good judgment to plan, perform and set-up sequences within standard procedures.
5. OTHER SKILLS and ABILITIES:
   1. Computer literacy requirred.
   2. Strong interpersonal and communication skills.
   3. Must have an Arizona Fingerprint Clearance card
   4. Requires analysis of facts and information to take action following established guidelines.

PHYSICAL REQUIREMENTS/WORKING CONDITIONS:

• Normally works in well lighted, comfortable surroundings. Must be able to concentrate with frequent interruptions. Must be able to sit for up to ninety percent (90%) of the work day. Must have manual dexterity for typing and filing. Occasional walking; frequent bending, reaching and stooping. Must be able to lift and carry up to twenty (20) lbs. independently.
