Medical Receptionist - Multispecialty - Physician Practice

The Medical Receptionist provides reception and clerical services under the supervision of the practice manager and physicians for patients and visitors. Responsibilities include billing, collections, referrals, appointments, patient contact, and general secretarial duties. Must be willing to travel within 30 minutes of home and float to various locations.

Responsibilities
  • Receive and direct all communication courteously and consistently, adhering to HIPAA guidelines and office policies. Answer phone calls promptly and route appropriately.
  • Greet patients and visitors promptly, courteously, and helpfully. Conduct oneself in a friendly manner, making eye contact and ensuring visitors feel welcome.
  • Assist patients with sign-in and respond promptly to their needs.
  • Support financial responsibilities, including understanding reimbursement and billing procedures, verifying information, preparing bank deposits, and handling cash receipts.
  • Monitor office supplies and equipment, coordinate with team members to determine needs, and initiate orders when supplies are low.
  • Manage patient check-in, verifying demographic info, collecting copayments, ensuring insurance eligibility, obtaining referrals, completing necessary paperwork, and entering data accurately.
  • Manage patient check-out, ensuring charges and payments are posted, balances collected, and future appointments scheduled.
  • Promote patient satisfaction through friendly interactions and communicate any issues to the manager.
  • Maintain accurate filing and record-keeping systems.
  • Assemble and retrieve patient records per protocol.
  • Adapt work schedule to practice needs, including working additional hours and cross-covering when necessary.
  • Serve as a pre-loader for our EMR system.
  • Perform other duties and projects as assigned.
  • Adhere to organizational competencies and standards of behavior.
Qualifications

Required:

  • High School diploma, GED, or equivalent.
  • Ability to learn quickly, adapt to changing patient needs, and demonstrate accountability, teamwork, ongoing education, and patient focus.
  • Willingness to travel to various locations.

Preferred:

  • Prior receptionist or clerical experience in a medical office.
  • Experience with Epic software.

Certifications (Preferred):

  • CPR certification.
