Are you an experienced medical receptionist who thrives in a fast-paced healthcare environment? Quinault Community Health is seeking a dependable, patient-focused Receptionist to support our front-office operations and help ensure every patient receives a welcoming, professional, and positive experience.
Previous medical office experience, including hands-on experience answering phones and working with an Electronic Health Record (EHR) system, is essential for success in this position. We are looking for someone who understands the importance of accurate patient registration, efficient scheduling, confidentiality, and professional communication in a healthcare setting.
As a Receptionist, you will serve as the first point of contact for patients, providers, and visitors while supporting daily clinic operations.
Responsibilities
- Welcome patients, clients, and visitors while providing courteous, professional, and culturally responsive customer service.
- Answer and screen incoming telephone calls, respond to voicemails, take messages, and direct inquiries to the appropriate departments.
- Schedule and coordinate appointments for multiple providers, manage patient walk-ins and intakes, and maintain accurate appointment information in the EHR.
- Register new patients and maintain accurate demographic, contact, insurance, and other required information in electronic health records.
- Verify insurance coverage and patient eligibility, including Medicaid, Medicare, commercial insurance, self-pay, and applicable sliding fee and financial assistance programs.
- Process patient payments, maintain accurate records, and assist with insurance documentation and billing-related information.
- Scan and upload patient identification, insurance cards, legal documents, and other required records into patient charts.
- Coordinate referrals, information requests, and communications between patients, providers, departments, and outside agencies while maintaining strict confidentiality.
- Provide general administrative support, including scanning, faxing, filing, preparing documents, and assisting with daily front-office operations.
Qualifications
- High school diploma or GED equivalent required.
- At least one (1) year of hands-on experience working with an Electronic Health Record (EHR) or Electronic Medical Record (EMR) system required.
- Previous medical office or healthcare reception experience, including answering and managing multi-line telephone systems, scheduling appointments, and assisting patients, is essential.
- Demonstrated ability to accurately register patients, maintain confidential medical records, and navigate electronic health records in a healthcare setting.
- Knowledge of medical office procedures, insurance verification, patient registration, and HIPAA confidentiality requirements.
- Proficiency with computers, standard office software, telephones, scanners, fax machines, and other office equipment.
- Excellent customer service, communication, organizational, and multitasking skills, with the ability to manage competing priorities and frequent interruptions.
- Ability to work effectively in a cross-cultural environment and demonstrate respect for the social and cultural backgrounds of patients and families.
- Willingness to support coworkers, assist other departments when needed, and rotate between multiple front desks and assigned work areas based on operational and staffing needs is required.
- Regular, dependable attendance and reliability are a must. This position is essential to maintaining front-office coverage, supporting patient access, and ensuring uninterrupted clinic operations.
- Ability to establish and maintain effective working relationships with patients, providers, coworkers, and external agencies.
Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Employee must have the ability to lift, carry, push, pull or otherwise move objects. Substantial movements of the wrists, hands, and/or fingers. Employee is required to have visual acuity to perform activities such as: using computer systems to enter data, evaluate data, transcribe, and read data from computer. This position will require the employee to sit and/or stand for extended periods of time.
