Qualifications

Job description

The Medical Receptionist (Care Facilitator) at our West Philadelphia location is one of a patient’s first contacts with our ChenMed family and serves as a patient advocate delivering exceptional customer service. The role involves checking patients in and out of the clinic and providing basic secretarial and administrative support. A successful Care Facilitator is committed to superior service and views every interaction as an opportunity to build trust with patients.

ESSENTIAL JOB DUTIES/RESPONSIBILITIES:

  • Greet patients, record information, check-in/check-out, schedule appointments, and maintain lobby organization and cleanliness.
  • Manage schedules for PCP and Specialists, ensuring top patients are scheduled every 13 days.
  • Use computer systems to update patient information, print forms, respond to emails, and prepare New Patient packets. Ensure contact information is accurate.
  • Make "love" calls, send birthday and greeting cards to patients.
  • Answer phones, take messages, and direct them appropriately.
  • Communicate information about clinical personnel to patients and others.
  • Verify insurance, collect copays, and assist with scheduling follow-ups and referrals.
  • Escort patients to exam rooms and ensure their comfort.
  • Act as HEDIS champion by monitoring scheduled patients' needs and reporting on hospitalizations and other metrics.
  • Gather patient feedback during checkout and escalate issues if needed.
  • Participate in daily and weekly team huddles.
  • Coordinate transportation, including managing driver lists, medication and grocery deliveries, and scheduling Uber/Lyft rides.

Other responsibilities may include:

  • Maintain confidentiality of patient information.
  • Review and verify patient data for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform additional duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Exceptional customer service and a passion for serving others.
  • Knowledge of medical insurance and EMR systems.
  • Familiarity with ChenMed’s products, services, policies, and procedures.
  • Proficiency with phones, computers, and basic IT systems.
  • Professional communication skills.
  • Attention to detail and accuracy.
  • Strong listening and verbal/written communication skills.
  • Positive attitude and professionalism.
  • Proficiency in Microsoft Office Suite.
  • Willingness to travel up to 10% regionally.
  • Fluency in English, spoken and written.

EDUCATION AND EXPERIENCE CRITERIA:

  • High school diploma or equivalent required.
  • Graduation from a Medical Assistant program preferred.
  • At least 1 year of experience in a medical setting required.
  • BLS certification preferred.
