Job summary

Coastal Kids is seeking a dedicated Medical Receptionist Float to support multiple Southern California offices, including Laguna Hills. The role focuses on front-desk greeting, patient flow, and basic administrative tasks to enable clinicians to deliver excellent pediatric care.

The position requires at least 1 year in a medical office and an active driver’s license. The schedule includes regular weekdays with occasional Saturdays and travel between Coastal Kids locations.

Qualifications

• Minimum 1 year experience in a medical office setting preferred.
• Active driver’s license required.

Responsibilities

• Greet patients and visitors upon arrival.
• Check-in patients: update demographics, insurance, PCP, pharmacy; collect co-pays and balances; obtain signatures and health questionnaires.
• Check-out patients: collect balances, provide visit summaries, referral information, patient portal access, forms, and follow-up appointments.
• Verify patient insurance via Batch Eligibility or on-demand; contact patients if insurance inactive or PCP not appropriate.
• Post charges and payments; complete charge/payment reconciliation.
• Scan and upload documents to the Document Management system.
• Sort and deliver mail and PA documents; maintain a clean waiting area.
• Participate in staff and educational meetings.

The ideal candidate will play a vital role in providing back office support and assisting our wonderful clinicians in delivering high-quality patient care.

PRIMARY FUNCTION

Serves patients and visitors by greeting them in a friendly and welcoming manner as they arrive at our offices. Completes and updates all required information, collects payments, and provides other information as requested. Discharges patients after their appointment, providing them with any pertinent information as well as follow-up appointments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Check-in patients upon arrival, which includes updating demographics, insurance information, PCP, pharmacy, collecting co-pays and patient balances, and providing consents for signature as well as appropriate health questionnaires.
• Check out patients, collect additional balances, provide visit summaries, specialist referral information, patient portal information, completed forms, and follow-up appointments.
• Verify patient insurance through Batch Eligibility or on demand. Contact patients whose insurance is not active, or PCP is not appropriate.
• Post-patient charges and payments. Complete charge and payment reconciliation.
• Scan and upload documents through the Document Management system.
• Sort and deliver mail and PA documents received by courier. Maintain a clean work area and patient waiting area.
• Participate in staff and educational meetings.

QUALIFICATIONS

EXPERIENCE:

• A minimum of 1 year experience in a medical office setting preferred.

LICENSURE/CERTIFICATION

• Upon hire, and for the duration of the employment period, a driver’s license must be active and valid.

KNOWLEDGE, SKILLS, AND ABILITIES

• Ability to learn & practice Pediatric Associate procedures, policies, and protocols.
• Requires proficient grammar, spelling, and verbal skills to communicate with patients, providers, and staff in written documents.
• Ability to read, comprehend, follow oral and written instructions.
• Knowledge of computer and medical terminology desired.
• Interact effectively, supportstaff & maintain a professional working relationship.
• Provide excellent customer service; greet & receive patients/ visitors in a professional and friendly manner.
• Maintain professional and excellent phone skills & etiquette, must be able to speak clearly and concisely.
• Use good judgment & maintain patient confidentiality.
• Must be able to file alpha and numerically.
• Requires experience in using a computer system, scanner, printer, fax etc.

TYPICAL WORKING CONDITIONS

• May rotate working in the office and remote/telework.
• 15%-20% of travel to other office locations as needed with reimbursement outlined per company policy.

Salary Range

The expected base hourlyrange for this position, located in Laguna Hills, CA, is $24.00to $30.52. It is not typical for offers to be made at or near the top of the range. Pediatric Associates offers are based on several factors, including, but not limited to, the candidate’s education, work experience, and certifications, all of which are dependent on the requirements of the specific role.
