Summary: The Medical Receptionist plays a vital role in the operations of Preventive Measures, LLC. They will report to the Medical Administrator and the Program Director, handling both Medical Department duties and Front Desk responsibilities.

Reports to: The Medical Administrator for medical shifts and medical issues; the Program Director for front desk shifts.

Interrelationship: Must be able to multitask and maintain professionalism. Candidates should be detail-oriented, highly organized, results-driven, and capable of effectively interacting with individuals at all organizational levels. A commitment to excellence and high standards is essential. Ability to work independently and collaboratively is required.

Primary Job Responsibilities
  1. Collect, file, and maintain weekly Medical Records.
  2. Triaging patients for medical appointments.
  3. Greeting and attending to patients in person and over the phone.
  4. Providing professional assistance to doctors, staff, visitors, and patients.
  5. Maintaining business inventory, checking supplies, and reporting equipment needs.
  6. Answering phone calls courteously and professionally.
  7. Performing duties in compliance with HIPAA regulations.
  8. Maintaining confidentiality of all medical and personal information.
  9. Scheduling appointments between doctors and patients.
  10. Acting as liaison between administrative, clinical, and medical departments with discretion.
  11. Adhering to policies and procedures at all times.
  12. Communicating medical results to patients under supervision.
  13. Documenting patient visits accurately.
  14. Performing front desk duties and filling in for Medical Assistant as needed.
  15. Managing lab results, coordinating care with PCPs, and handling prior authorizations and prescription screenings.
  16. Preparing charts, gathering discharge paperwork, and communicating with other providers.
  17. Ensuring medical staff documentation accuracy and completing charge slips.
  18. Performing additional duties as assigned.
  19. Providing translations for medical providers and front desk calls as needed.
Job Specifications
  • High School diploma or GED required; Medical Assistant certification preferred but not required.
  • Experience in a related field preferred.
  • Strong problem-solving, critical thinking, interpersonal, and communication skills.
  • Proficiency with computers, especially MS Office.
  • Bilingual Spanish preferred but not required.
Mandatory Requirements
  • Two-step PPD test.
  • PA State Background Check.
  • ChildLine Abuse Clearance.
  • FBI Background Check.
  • Mandated Reporter Certification.
