POSITION DESCRIPTION:
Serves as a first point of contact for external customers in the office and on the phone, acting as a liaison between external customers and medical staff. Greets, instructs, and assists customers in obtaining needed services within the office and IHA. Obtains and communicates necessary patient and office visit information to billing staff and facilitates efficient patient flow and billing for services.
ESSENTIAL JOB FUNCTIONS:
Note: Not all Medical Receptionists will perform all functions; responsibilities may vary based on specific roles such as serving Refugee Patient Populations or working on digital campaigns.
Medical Receptionist I Responsibilities:
- Greet all individuals arriving at the office courteously and ensure their needs are met.
- Obtain necessary patient registration information, verify insurance eligibility, prepare charts per IHA protocols, and notify clinical staff of patient arrivals.
- Complete patient forms accurately, collect payments, and ensure charges are posted correctly to the billing system.
- Retrieve and file EMR/paper charts and reports.
- Answer calls following IHA etiquette, relay messages promptly.
- Schedule and confirm appointments according to office protocols.
- Assist with rescheduling clinics and contacting patients, informing leadership of overbookings.
- Send out new patient paperwork via MyChart or mail.
- Manage the daily Work Queue (WQ).
- Support payment and charge posting accuracy and completion.
- Support overdue report management and patient outreach.
- Maintain a neat work environment and waiting area.
- Support other offices, attend meetings and training as assigned.
- Perform other duties as assigned.
Additional responsibilities for Receptionists working with Refugee Patient Populations include:
- Provide intake services, prepare charts, schedule appointments, and assist with follow-up based on patient needs.
- Coordinate with service providers and support personnel to ensure patient appointments.
- Respond to new patient referrals promptly.
- Assist with communication in the patient's primary language, including coordinating translation services with qualified interpreters when necessary.
- Serve as the primary contact for refugee patient-related staff inquiries.
- Enter demographic data into the intake database, generate reports, and analyze data related to intake processes and patient care.
- Create and update memos, forms, and signs for office communication.
- Act as back-up to the Medical Reception team as needed.
Responsibilities for digital campaign roles include:
- Follow up on digital applications and send patient paperwork.
- Follow up with applicants and organize seminar sign-ups.
- Perform other duties as needed.

ESSENTIAL QUALIFICATIONS:
Education: High School Diploma or GED; students aged 15-17 with a work permit may apply. Coursework in insurance, billing, or medical practice is preferred but not required.
Credentials/Licensure: None required.
Minimum Experience: 1-2 years in a medical, physician office, or customer service environment preferred.

Environmental Expectations:
Work occurs in a typical office environment with exposure to contagious diseases. Interaction with distressed or ill individuals may be stressful and require prioritization skills.
