The Medical Office Manager is responsible for the performance and supervision of both day-to-day administrative/reception duties.
Roles & Responsibilities:
- Assists with maintaining support staff work schedule, assisting with Human Resource requirements
- Front desk reception
- Greets patients, completion of registration forms, and gives instructions
- Files and maintains medical and financial records
- Prepares and types correspondence
- Processes mail
- Uses communication skills with appropriate medical terminology
- Follows appropriate legal and ethical professional conduct
- Follows medical practice and OSHA safety rules and procedures while on assignment
- Follows and upholds HIPAA regulations
- Ensure all charts are prepared at least a week in advance including obtaining medical records for patients prior to an office visit
- Ensures incoming patient phone calls are answered in a timely manner and maintains reasonable wait times
- Maintains patient confidentiality which complies with all HIPAA regulations
- Manages monthly physician schedules
- Directs and/or secures the services and products of outside sources such as medical supplies, equipment, office furnishings
- Oversees patient care tasks which could include: clinical assessments, acting as a patient liaison, acting as an advocate, and coordination with the necessary staff and resources to ensure excellent patient outcomes
- Performs other position-related duties as assigned
- Assists VP of Healthcare Operations and Friendship with growth analysis, introducing and examining opportunities for growth of clinic with external partnerships.
Essential Functions:
- Ability to make independent decisions within the scope of license or certification when circumstances warrant such action
- Comply with all local, state, federal, and facility policies and procedures
- Works with physicians and staff to implement clinic goals and objectives in support of the strategic plan
- Oversees the day-to-day operations of the office including but not limited to the following: staff management, scheduling, facilities, billing
Qualifications:
- Experience in the medical field & knowledge of medical terminology, office management or leadership
- Knowledge of accounting, data and administrative processes and principles
- Ability to handle medical records discreetly.
- Time-management skills.
- Ability to multi-task and perform well in stressful situations.
- Exceptional people skills for liaising with patients, healthcare providers, specialists, clinic staff and the public.
- Excellent written and verbal communication skills.
- Exceptional organizational skills to ensure that quality services are provided.
- Competency with computer-based healthcare administration systems.
Education & Experience:
- High School Diploma or equivalent required
- Two years or more administrative/clinical experience in a medical practice setting
