Job summary

Seattle Integrative Oncology is seeking an energetic, service-oriented Front Office Coordinator to handle scheduling, registration, check-in/out, and telephone inquiries in a healthcare setting. You will collect patient payments, process records requests, and support staff with front desk tasks in a compassionate, patient-centered environment.

As the clinic grows, you may participate in advanced administrative roles, with potential co-supervision of front desk staff and leadership training.

Qualifications

  • Required: AA degree in Business Administration or similar field.
  • Preferred: Bachelor degree; two years of customer service/clerical experience in a healthcare setting.
  • Experience: Required: Three years of customer service/clerical experience in a healthcare setting.
  • Preferred: Leadership experience in a healthcare organization or supervisory role.

Responsibilities

  • Answer calls for practitioners and communicate information to practitioners and management.
  • Schedule appointments and provide reminder calls for patients.
  • Improve non-clinical workflows with clinic manager.
  • Request and maintain patient medical, insurance, and demographic records.
  • Explain services and insurance/billing practices to callers and patients.
  • Use provider portals to determine patient benefits and claim status.
  • Resolve denials and submit appeals as needed.
  • Coordinate scheduling between practitioners and outside providers.
  • Coordinate clinic events related to complementary medicine.

Job description

Seattle Integrative Oncology is seeking an energetic, service-oriented professional who has a passion for patient care. As the Front Office Coordinator, you will be expected to fulfill many of the essential day-to-day clerical tasks required to keep a medical practice running smoothly. Primary responsibilities include patient scheduling and registration, appointment check-in/check-out, answering and managing telephone inquiries, collecting patient payments, processing medical records requests, and performing a range of other front desk activities in support of our patients and staff. At all times you will be expected to be a fully engaged member of the SIO care team as demonstrated by a commitment to outstanding customer service and compassion for patients and their families.

While the initial focus of this position is related to front office work, you will have the opportunity to participate in more advanced administrative and operational roles as the clinic continues to grow. This may inlcude co-supervision of front desk staff and advanced training for a future adminstrative role in organizational leadership. Starting pay will be based on several factors, including but not limited to job-related experience, knowledge, and skills. Responsibilities and Duties
  • Answer calls for the SIO practitioners and communicate relevant information to practitioners and management.
  • Schedule appointments and provide reminder calls for SIO patients.
  • Work with onsite lead and clinic manager to create and/or improve non-clinical workflows. Assist in the development of policies and best practices for front desk staff.
  • Request and maintain patient medical, insurance, and demographic records.
  • Explain SIO services and their potential benefits to callers and in-person inquiries as defined in by SIO providers.
  • Explain insurance/billing/payment practices, as well as applicable referral protocols.
  • Use online provider portals such as Availity and OneHealthPort to determine patient benefits and claim status.
  • Resolve claim denials and submit appeals and reconsiderations as needed.
  • Request extension of benefits through patient insurance carriers. Request initial authorization for benefits when applicable, such as acupuncture, as well as prescription for services as required for oncology massage, etc.
  • Coordinate and assist with scheduling meetings between SIO practitioners and outside practitioners/referring providers.
  • Coordinate clinic events related to complementary medicine for patients, caregivers, and the general community.
  • Participate in continuing education opportunities that expand personal and program knowledge of holistic medicine practices and trends; this may include, but is not limited to marketing, billing, or coding and/or management practices.
Qualifications and Skills

Education:

  • Required: AA degree in Business Administration or similar field
  • Preferred: Bachelor degree; two years of customer service/clerical experience in a healthcare setting.

Experience: Required: Three years of customer service/clerical experience in a healthcare setting. Preferred: Leadership experience in a healthcare organization and/or background as a staff lead or supervisor. License/Registration/Certifications: Required: N/A

  • Preferred: Experience working in an integrative/holistic medicine setting and/or naturopathic medicine office.

Knowledge, Skills, and Abilities: Required: Computer spreadsheet or database skills. Familiarity with basic marketing concepts. Excellent oral, written, and telephonie communication skills. The ability to communicate effectively with outside medical facilities, providers, clinic employees, patients, and family members. Proficiency in Microsoft Office to include PowerPoint, EXCEL, Outlook, Word, and Publisher. Basic accounting skills relative to the oversight of our supplement dispensary.

  • Previous experience or training with Athenahealth and/or other electronic healthcare systems; understanding of insurance plans and third-party payer requirements; basic knowledge of medical terminology
  • Experience with provider credentialing and contracting
  • Claims billing and resolution of denials
  • Processing authorization for services
  • Familiar with Availity and OneHealthPort online provider portals; using these to determine claim status and patient benefits
