Job summary

LifeStance Health is seeking a Practice Coordinator to manage the front office for our Seattle practice, ensuring quality service for in‑person and telehealth patients and clinicians.

The role includes scheduling, patient intake, billing inquiries, and collaboration with clinicians to support smooth daily operations. Strong communication and confidentiality are essential, with a focus on delivering a welcoming patient experience.

Qualifications

  • Proficiency in using Computer Software Applications (Microsoft Office & EMRs).

Responsibilities

  • Support a positive work environment; act as a culture carrier and support in‑office clinician and staff engagement activities to promote LFST culture, engagement, and connection.
  • Conduct schedule prep for all patients to ensure paperwork, credit card information, demographics, and charts are complete and ready for clinicians.
  • Perform general office duties, including cleaning, sorting office mail, scanning documents, e‑faxes, handling shared office email, and maintaining office upkeep.
  • Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction.
  • Provide exceptional customer service, responding quickly and appropriately to patient needs, and managing potentially difficult or sensitive situations by following Crisis and De‑escalation Processes.
  • Manage front desk responsibilities including greeting and checking patients in/out courteously.
  • Support patient inquiries via phone, email, and/or portal for payment/billing questions, scheduling needs, release requests, and miscellaneous inquiries.
  • Manage phone queue, ensuring calls are answered in a timely manner.
  • Assist patients with telehealth access, Patient Portal issues, and other troubleshooting.
  • Handle urgent requests; triage patient issues to the correct department or elevate for assistance.
  • Collect in‑person and telehealth co‑payments and account balances at the time of service.
  • Complete insurance eligibility verification and resolve any related issues by contacting patients.
  • Assist clinicians with administrative questions and duties such as sending letters, faxes, and other paperwork.
  • Coordinate with clinicians regarding additional patient questions.
  • Support clinician schedules by auditing appointment accuracy.
  • Maintain a pleasant, secure, and motivational working environment in the practice.

Job Summary

The Practice Coordinator is responsible for managing the front office daily activities for their practice location, ensuring quality customer service to in-person and remote patients and clinicians.

Compensation: $21.00 - $22.00/hour, plus quarterly bonus/incentive potential.

Hours: Monday - Friday 8:00 am - 4:30 pm

Location: 1448 NW Market St Suite 210 Seattle, WA 98107

Education and Experience

High School or equivalent required; Associate’s/Bachelor’s degree preferred. 1+ years of experience in healthcare operations, customer service, or a similar role preferred.

Physical Requirements

The employee is regularly required to sit, stand, bend, talk, hear, walk, and lift or move objects up to 25 pounds. Vision requirements include close, distance, color, peripheral, depth perception, and focus adjustment.
