Job summary

Maui Medical Group seeks a Medical Office Assistant (MOA) for our Surgery team in Maui. The MOA coordinates office tasks, screens patients for triage, updates records, and handles forms, referrals, and imaging coordination.

Responsibilities include scheduling, chart management, and assisting with care coordination across clinics and referrals, including off-island when needed. Prior medical front-d desk experience is preferred.

Qualifications

  • High school diploma or equivalent required.
  • Two years of medical receptionist experience preferred.
  • Experience with basic office equipment and personal computer desirable.
  • Knowledge of medical terminology is preferred.

Responsibilities

  • Answer calls promptly, schedule appointments, inform patients of co-payments, deposits, and referrals.
  • Verify information to process encounters; prepare next day forms; assist with ICD9 coding.
  • Maintain and chart medical records; manage transfers and lab results; note next appointment dates.
  • Coordinate care with MMG providers and referrals, including off-island when needed.
  • Assist physician/program with tracking quality outcomes and reporting results.
  • Organize outreach screening programs to promote early cancer detection and reduce barriers to care.
  • Perform other duties as assigned; maintain confidentiality and professionalism.
  • Demonstrate quality work, meet deadlines, and adhere to policies; attend as required.
  • Maintain attendance per company policy.

Overall Purpose of the Position: The Medical Office Assistant (MOA) is responsible for assisting in the coordination and organization of various office duties including appointments, screening patients for triage, updating patient information screen with current information, completing of forms, requesting and transferring charts, and answering multi‑line telephones. Also helps to educate and support patients in the complex process of care related to cancer and GI issues.

Major Job Responsibilities
  • Promptly and courteously answers incoming calls, takes messages or transfers the call as required. Assists scheduling diagnostic appointments, tests, authorizations, and referrals. Informs patient of co‑payments, deposits, and referrals/authorization needed at time of appointment. (20%)
  • Identifies and verifies all information needed to process the encounters. Generates encounter forms for the next day service. Assists in the completion of office forms and documents (to include copying and faxing). Assist with ICD9 coding of visits. (20%)
  • Assists in the maintenance of medical records in the office (i.e. files documents in charts, requests and transfers charts, chart preparation, notates incoming lab results and patient’s next appointment date). (15%)
  • Coordinates all aspects of the care (office, hospital, etc.). Assist with scheduling of appointments and “coaches” patients through the "maze" of care. An advocate for the patient and their family members on the care provided. Coordinates the deliver of care with other MMG providers\offices and other referrals including off island. (15%)
  • Clinical Data Management: Assist physician/program with tracking of quality outcomes and practice trends. Reports the results as needed and works to improve the trends. (10%)
  • Organizes and assist with Outreach Screening Programs to expedite early detection of cancer and reduce barriers to care (i.e. cultural, financial and logistic). (10%)
  • All other miscellaneous responsibilities and duties as assigned. (5%)
  • Demonstrates quality work, completes assignments on a timely basis, and makes decisions within limits of authority. Takes initiative in problem solving, maintains confidentiality of patient and company information, and interacts with patients, co‑workers, and management in a courteous and respectful manner. Adheres to all company policies and procedures. (2.5%)
  • Maintains attendance standards consistent with company policy. (2.5%)
Minimum Qualifications

Education/Experience: High school diploma or equivalent required. Two years of medical, receptionist experience preferred. Demonstrated experience with basic office equipment and personal computer highly desirable.

Skills/Knowledge: Must be able to manage multiple tasks at the same time; possesses strong telephone skills; maintains a positive ‘can-do’ attitude; and able to work overtime as the need arises.

Desired/Preferred Qualifications: Experience in a medical office or healthcare administration, knowledge of medical terminology.

Equipment Use: Personal computer, typewriter, multi‑line telephone, fax machine, and copies.

Characteristics: Willing to effectively participate as a team member with Nursing and Front Desk.

Requires sitting and use of hands for key‑punching (60%), walking, bending, stooping and stretching for files and supplies (30%). Requires manual dexterity sufficient to operate a keyboard and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone use. Able to lift up to 25 lbs.

Hourly Rate: Starting @ $19.07; based on experience
