The Medical Education Program Coordinator in the Department of Obstetrics and Gynecology (OBGYN) is responsible for the coordination and administration of the department's fellowship programs and the medical student clerkship. This position manages day-to-day program operations such as scheduling rotations, organizing recruitment efforts, coordinating onboarding and orientation, maintaining program accreditation compliance, handling evaluations, supporting program directors and trainees, and managing program events. The coordinator acts as the primary liaison between faculty, fellows, medical students, and the GME office, facilitating clear communication and ensuring the timely completion of program requirements. Strong organizational, communication, and problem-solving skills are critical for success.
Duties & Responsibilities:
- Coordinate daily operations of the fellowship program(s) and the medical student clerkship program within the Department of Obstetrics and Gynecology.
- Provide administrative support to the Program Director(s) and departmental leadership related to program initiatives and curriculum development.
- Serve as the primary liaison between program leadership, trainees, faculty, hospital departments, and institutional graduate medical education offices.
- Manage rotation, call, and educational conference schedules, ensuring appropriate coverage and adherence to training requirements.
- Schedule preceptorships, subspecialties, and educational blocks based on participant interest and faculty/clinical availability.
- Stay current on changes in accreditation requirements and medical education trends to ensure program compliance and innovation.
- Manage recruitment processes, including scheduling interviews, communicating with candidates, and assisting with onboarding and orientation.
- Collect, organize, and analyze program evaluations, survey data, and feedback for continuous quality improvement.
- Maintain trainee records, certifications, and licensure verifications in institutional databases.
- Track and process reimbursements, stipends, and other program-related expenses.
- Assist with the preparation of materials and documentation for internal and external audits, site visits, and accreditation reviews.
- Assist in the coordination of academic events, including workshops, didactic sessions, exams, retreats, and awards ceremonies, etc.
- Assist in the coordination of postgraduate CME sponsored by the department.
- Troubleshoot and resolve trainee issues or inquiries with discretion and professionalism.
- Perform other related duties and participate in special projects as assigned.
Minimum Qualifications Required:
- High school diploma or equivalent.
- Any one or combination totaling four (4) years (48 months), from the categories below:
- College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
- Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems
- Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.
Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.

- Demonstrated experience supporting Faculty and Clinical team members within a higher education setting
