The Opportunity
Our attorneys help injured people get back on track. But obtaining a great result for a client starts with making sure they receive the medical care they need and do not fall through the cracks.
We are seeking a Medical Compliance Coordinator to take ownership of medical treatment coordination and compliance across a high-volume plaintiff personal injury caseload.
This role serves as the connection between our clients, medical providers, case managers, and attorneys. You will monitor clients’ treatment, identify missed appointments and gaps in care, help clients overcome barriers such as scheduling or transportation, track outstanding referrals, and make sure treatment issues are addressed before they negatively affect a client’s recovery or case.
This is not simply a scheduling position. We are looking for someone who takes ownership. If a client misses an appointment, the job is not finished because the appointment was scheduled—the job is finished when we understand what happened, the issue has been addressed, and the client has a clear next step.
What You Will Own
In this role, you will be responsible for:
- Treatment Compliance: Monitor clients’ medical treatment and identify missed appointments, gaps in treatment, incomplete referrals, and other issues that could interfere with a client’s recovery or negatively impact their case.
- Missed Appointment Follow-Up: Proactively contact clients who miss appointments, determine why the appointment was missed, assist with rescheduling, and continue following up until the issue is resolved.
- Medical Appointment Coordination: Assist clients with scheduling and rescheduling appointments with physical therapy, orthopedics, pain management, neurology, diagnostic imaging, surgical specialists, and other medical providers.
- Referral Tracking: Track outstanding MRIs, diagnostic testing, specialist consultations, therapy referrals, surgical consultations, and other treatment recommendations to ensure they are completed.
- Transportation Coordination: Identify when transportation is preventing a client from attending treatment and assist with coordinating appropriate transportation resources.
- Barrier Resolution: Identify and help resolve issues preventing clients from treating, including scheduling difficulties, transportation problems, language barriers, provider communication issues, insurance or authorization issues, and other obstacles.
- Client Communication: Maintain regular communication with clients regarding their treatment status, upcoming appointments, missed visits, outstanding referrals, and next steps.
- Treatment Monitoring: Follow up after significant medical appointments to confirm attendance and identify new diagnoses, testing, referrals, procedures, or treatment recommendations that require additional follow-up.
- Closed-Loop Follow-Up: Maintain ownership of unresolved treatment issues until they are completed, resolved, or appropriately escalated. Every open issue should have a next action and follow-up date.
- Case Management Documentation: Maintain accurate and timely records of appointments, missed visits, client communications, referrals, transportation issues, treatment status, and compliance concerns in the firm’s case-management system.
- Compliance Reporting: Identify and track clients who have not treated within established timeframes and proactively address potential gaps before they become significant.
- Attorney and Case Manager Escalation: Promptly alert the appropriate attorney or case manager when a client repeatedly misses treatment, becomes unreachable, refuses recommended care, develops a significant treatment gap, or has another issue requiring higher-level intervention.
- Case Protection: Understand that consistent medical treatment and proper documentation are critical components of a personal injury claim and work proactively to prevent avoidable treatment issues from reducing the value of a client’s case.

- Strong organizational skills with the ability to manage a high volume of clients, appointments, referrals, and follow-up tasks simultaneously.

- Ability to communicate professionally and compassionately with injured clients who may be dealing with pain, stress, transportation difficulties, work obligations, or other challenges.
- Ability to identify problems and take action rather than simply documenting them.
- Comfortable making frequent outbound calls and following up repeatedly when necessary.
- Ability to maintain accurate and detailed notes in a case-management system.
- Ability to prioritize urgent treatment and compliance issues in a fast-paced environment.
