Job summary

Kansas City Orthopedic Alliance is seeking a Medical Clinic Scheduler to join our full-time team in the Kansas City metro area. You will work as part of a telephone operator pool, scheduling and rescheduling patient appointments according to provider protocols and maintaining clear documentation.

The role emphasizes strong customer service, accurate data entry, and knowledge of insurance eligibility while adhering to HIPAA, OSHA, and Medicare regulations.

Qualifications

• High School diploma or equivalent.
• 1-5 years office experience, preferably in a medical setting.
• Ability to sit for long periods, stand & bend.
• Customer service skills involving active listening, proper phone etiquette.
• Time management and the ability to be organized and handle multiple tasks concurrently.
• Knowledge of HIPAA, OSHA, and Medicare regulations.

Responsibilities

• Answer and route incoming calls correctly and take accurate notes when unable to connect the caller to the requested party.
• Schedules and reschedules patient appointments per established provider protocols.
• Advise callers regarding practice, payment/cancellation policies and pre-authorization requirements as appropriate.
• Enter accurate patient demographics and other required information into the medical software system.
• Confirm and document eligibility and benefits via software application.

Kansas City Orthopedic Alliance is the largest, independently owned orthopedic specialty practice in the Kansas City metro area. We have over 50 medical providers practicing out of six locations. Each team focuses on the importance of customer service, communication, and caring for patients. This is a full-time, Monday-Friday position.The Medical Clinic Scheduler serves with others as facility telephone operator pool. Schedules and reschedules patients’ appointments per established protocols by provider. Serves as a primary customer service representative for KCOA.ESSENTIAL DUTIES:Answer and route incoming calls correctly and take accurate notes when unable to connect the caller to the requested party, presenting good oral and written (documentation) communication skills and displaying positivity in all interactions.Schedules and reschedules patient appointments per established provider protocols.Advise callers regarding practice, payment/cancellation policies and pre-authorization requirements as appropriate, noting special circumstances in the patient appointment note.Enter accurate patient demographics and other required information into the medical software system.Confirm and document eligibility and benefits via software application.Compliance with all HIPPA, OSHA, and Medicare regulations.
