Job summary

gTANGIBLE Corporation seeks a Medical Case Manager to join our team at Robins AFB, GA. You will manage medical cases across multiple DoD systems, coordinate with MAJCOMs and MTFs, ensure data integrity, and prepare required reports.

The role requires experience with military medical processes, proficiency in AF/DoD systems, and strong communication skills. Security clearance at Tier 1 level is required or achievable. Contingent, full-time position with on-site work at Robins AFB.

Qualifications

  • Experience processing and managing physical exams and medical standards in military or equivalent civilian environments.
  • Proficient with Air Force and DoD medical systems such as AIMWTS, PEPP, PHA programs, JLV, and MICT.
  • Knowledge of medical standards for retention, flying classes, LOD determinations, and special operational duties for USAF.
  • Must be able to translate and communicate complex medical/administrative instructions to service members.
  • Excellent oral and written communication skills and project management experience.
  • Proficient with PDF software and the Microsoft Office Suite.
  • Possess or obtain a favorable Tier 1 (T1) – NACI clearance or meet DoD 1000.13-M-VI requirements.
  • Prior USAF SG or USAF medical training is a significant plus.
  • Experience providing quality customer service to Government employees, military personnel, contractors, or visitors.

Responsibilities

  • Update AIMWTS, ECT, PEPP, MEDXS and other systems with current case status.
  • Provide written instructions to reserve medical units on case management.
  • Adjudicate medical cases using general medical guidelines and obtain expert opinions.
  • Coordinate with MAJCOMs, HQUSA F, and medical treatment facilities on reserve medical issues.
  • Ensure data in case files meets HQ AFRC requirements.
  • Load cases into electronic records and complete inputs for management.
  • Maintain timely handling of cases per policy and directives.
  • Ensure accuracy of data entry and case processing.
  • Track cases through review, keeping RMUs and Chief informed.
  • Coordinate evaluations using Aeromedical Consult Service and external agencies.
  • Review cases from RMUs, ACS, RS, ensuring data is included with results.
  • Schedule and certify accession, retention and flying waivers.
  • Collect and compile data for final disposition and mailing.
  • Create educational tools and educate on AOME mission.
  • Monitor physical examination statistics for timely disposition.
  • Prepare reports and correspondence as needed.

Duties and Responsibilities:
  • Update Aeromedical Information Management Waiver Tracking System (AIMWTS), Electronic Case Tracking (ECT), Physical Exam Processing Program (PEPP), Medical Expeditionary System (MEDXS) and other systems of record with current case status.
  • Provide written instructions to reserve medical units on the management of questionable or incompletely documented cases for additional information/ requirements.
  • Reference and apply knowledge of general medical guidelines covering physical standards and form the basis for adjudicating medical cases and obtain medical opinions/recommendations from professional medical personnel.
  • Coordinate with MAJCOMs, HQ USAF and medical treatment facilities (MTF) addressing reserve unique medical issues.
  • Confirm all required data included in case files for HQ AFRC provider adjudication and confirm provider statements match case type and higher level requirements.
  • Load cases into appropriate electronic system of record.
  • Complete technician level inputs for front and back-end management.
  • Ensure cases are handled in a timely fashion per applicable policy, and for special or high interest cases, per directive.
  • Ensure accuracy of data entry and case processing.
  • Track cases through the entire review process keeping RMUs and Chief, Medical Standards, informed of the status of each case.
  • Coordinate and assist with schedule evaluations using all available resources (Aeromedical Consult Service, nearest MTF to member, and other outside civilian agencies).
  • Review all cases submitted from reserve medical units (RMUs), the Aeromedical Consult Service (ACS) and Recruiting Services (RS), and ensure pertinent data is included with case results.
  • Review, schedule, and certify accession, retention, and flying waivers utilizing ECT, AIMWTS and PEPP.
  • Collect and compile data for final case disposition and mail-out to member.
  • Create educational tools and educate on all aspects of AOME mission.
  • Conduct ongoing command evaluation of physical examination statistics to ensure timely resolution and disposition of cases.
  • Perform analyses related to special requests or high-interest cases as identified by the COR.
  • Prepare recurring and nonrecurring correspondence, reports, and other documents and review and finalize correspondence/documents prepared by others in handwritten or electronic drafts.
  • Perform clerical and administrative services, including the use of automated programs and software to produce required databases, spreadsheets, and graphics.
  • Comply with all policies of the Aerospace and Operational Medicine Division and ensure appropriate timely and complete case management workflow.
  • Attend meetings for discussion of cases and provide administrative computer support for this function on an as needed basis.
  • Complete required monthly, annual, and ad hoc reports.
  • Communicate all necessary information for appropriate case adjudication and workflow to the case management providers.
  • Coordinate activities with ACS, RS and other referring facilities.
  • Ensure administrative due outs are performed and completed as by directive.
  • Assist with planning, preparation, and execution of four training sources conducted by the SGP division.
  • Provide day-to-day advice and assistance to medical personnel in 69 separate units and three numbered Air Forces.
  • Receive telephone calls, return messages within 2 duty days of receipt.
  • Communicate effectively with coworkers, leaders, commanders, first sergeants, MAJCOMs, and AFMEDCOM, and resolve conflicts at different levels.
  • Review and process incoming and outgoing correspondence, materials, publications, regulations, and directives.
  • Screen incoming mail/calls/emails to identify items that require escalation to designated Government personnel, referral to appropriate staff, rerouting to other organizations, or that can be handled internally.
Knowledge and Qualifications
  • Demonstrated experience processing and managing physical exams and medical standards using military medical environments (e.g., USAF PES), or through equivalent civilian aeromedical, occupational health, or disability evaluation system environments.
  • Demonstrated high level of proficiency with (or the ability to rapidly acquire proficiency in) Air Force and DoD medical systems, including AIMWTS, PEPP, Periodic Health Assessment (PHA) programs, Joint Legacy Viewer (JLV), and Management Internal Control Toolset (MICT).
  • Demonstrated high level of knowledge regarding medical standards for retention, flying classes, Line of Duty (LOD) determinations, and special operational duty for the USAF.
  • Must be proficient in utilizing the Aeromedical Waiver Guide (AMWG) and the Medical Standards Directory (MSD).
  • Must possess basic knowledge of anatomy, physiology, disorders of human body systems, and emergency medical care procedures.
  • Must possess knowledge of medical terminology and International Classification of Diseases (ICD-10) coding and possess the ability to use medical terminology accurately when documenting cases.
  • Must possess excellent oral and written communication skills and project management experience.
  • Must possess the ability to translate and communicate complex medical/ administrative instructions to service members at the member's comprehension level.
  • Must be highly proficient with Portable Document Format (PDF) software and the Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Must possess proficient typing skills utilizing QWERTY and 9-key pads.
  • Possess or obtain a favorable Tier 1 (T1) – National Agency Check with Inquiries (NACI) or meet the current requirements of DoDM 1000.13-M-VI.
  • Prior USAF SG or USAF medical training is a significant plus.
  • Knowledge and experience providing quality customer service to Government employees, military personnel, contractors, and/or visitors.
