Responsibilities

  • Schedule surgeries, testing, and required clearances.
  • Coordinate with hospitals and facilities to confirm schedules and equipment needs.
  • Ensure pre-operative paperwork, consents, allergies, and health histories are complete.
  • Review surgery instructions with patients and explain next steps.
  • Obtain prior authorizations for surgeries, tests, medications, and procedures.
  • Schedule post-operative appointments and testing.
  • Communicate scheduling changes promptly to patients, surgeons, and facilities.
  • Prepare patients for examinations and assist physicians with exams.
  • Take and document vital signs and enter data into the EHR.
  • Collect specimens and assist patients with mobility; administer injections as directed.
  • Communicate test results and patient education as instructed.
  • Respond to patient calls, monitor voicemail, and complete EHR tasks promptly.
  • Obtain medication refill approvals and communicate with pharmacies.
  • Obtain medical records, laboratory reports, and referrals; maintain accurate records.
  • Schedule office visits and assist with pre-visit requirements and discharge.

About the Position

Center for Neurosciences (CNS) is seeking an organized, compassionate Surgery Scheduler / Medical Assistant to coordinate surgical care and support physicians with patient care. This dual role combines surgery scheduling, pre-operative coordination, clinical assistance, and administrative support.

The ideal candidate communicates clearly, pays close attention to detail, and works well with patients, providers, hospitals, and coworkers.

What You Will Do
Surgery Scheduling
  • Schedule surgeries, diagnostic testing, and required medical or cardiac clearances.
  • Coordinate with hospitals and surgical facilities to confirm schedules, specialized equipment, and supply needs.
  • Ensure pre-operative paperwork, consents, allergies, medication lists, and health histories are complete and documented.
  • Review provider-approved surgery instructions with patients and help them understand next steps.
  • Obtain prior authorizations for surgeries, tests, medications, and procedures.
  • Schedule post-operative appointments and testing.
  • Communicate scheduling changes promptly to patients, surgeons, and surgical facilities.
Medical Assistant and Administrative Support
  • Prepare patients for examinations and assist physicians with exams and procedures.
  • Take and document vital signs and enter clinical information and provider orders into the electronic health record.
  • Collect specimens, assist patients with mobility, and administer injections as directed and within authorized duties.
  • Communicate test results and patient education as instructed by the provider.
  • Respond to patient calls, monitor voicemail, and complete electronic health record tasks promptly.
  • Obtain medication refill approvals and communicate with pharmacies.
  • Obtain medical records, laboratory and imaging reports, hospital notes, and referrals.
  • Process forms and faxes, verify insurance and patient demographics, and maintain accurate medical records.
  • Schedule office visits, confirm pre-visit requirements, and assist with patient discharge.
  • Perform other duties as assigned.
Qualifications: Required Qualifications
  • High school diploma or GED.
  • At least one year of recent medical assistant experience in a medical facility, or an equivalent combination of education, training, and experience approved by CNS.
  • Knowledge of medical office procedures, patient care practices, and patient confidentiality.
  • Strong communication, organization, and customer service skills.
  • Ability to prioritize tasks, manage changing demands, and work collaboratively.
  • Ability to recognize patient concerns requiring prompt attention and communicate them to the provider or supervisor.
Preferred Qualifications
  • Medical assistant certification from an accredited institution.
  • Current CPR certification or recertification in progress.
Work Environment and Physical Responsibilities

This position works in medical office and examination/procedure room settings. Responsibilities involve walking, standing, sitting, bending, twisting, reaching, and assisting patients with mobility or transfers using appropriate body mechanics. Occasional lifting, carrying, or moving of up to 50 pounds may be required. Reasonable accommodations are available to enable qualified individuals to perform essential job functions.
