Position Summary
This position primarily supports office functions, including medication prior authorizations, administrative support for our fertility genetic counselor, and scheduling complex tests for IVF physicians. It may also float to clinical areas to assist with various tasks. The role may involve leading Medical Assistants in clinical operations, supporting pretesting, and ensuring smooth patient flow and office operations.
Job Description

Primary Duties & Responsibilities:

Patient Care Duties

  • Interact with patients, obtain vital signs, conduct EKGs, perform phlebotomy, and verify medications.
  • Prepare for office hours by organizing charts, scheduling tests, and setting up exam rooms.
  • Assist with examinations, procedures, and lab tests.
  • Assist with medication renewals and authorizations under departmental guidelines.
  • Administer medications as ordered by physicians or nurse practitioners, including vaccines and injections.

Communication and Documentation

  • Schedule and assign work to Medical Assistants; assist in training new staff.
  • Manage patient flow, assist with procedures, and complete requisitions.
  • Handle phone communications and route messages appropriately.
  • Support care coordination, including calling patients, scheduling, and monitoring contacts.
  • Complete paperwork and documentation promptly.
  • Answer patient questions regarding treatments and procedures.

Equipment and Supplies

  • Monitor and maintain supply inventory and sterilize instruments.

Other Functions

  • Maintain HIPAA compliance and participate in ongoing training and quality improvement activities.
  • Follow OSHA and other regulatory standards.
  • Perform additional duties as assigned.

Working Conditions:

  • Office environment with exposure to blood-borne pathogens.
  • Use of protective devices required.

Physical Effort

  • Sitting, standing, walking, bending, and occasional lifting (up to 25 lbs).

Equipment

  • Office and clinical diagnostic equipment.
Required Qualifications

High school diploma or equivalent, with relevant certifications such as BLS, CCMA, CMA, or LPN. Minimum of 3 years of related experience, with proficiency in medical procedures, documentation, and patient interaction.

Preferred Qualifications

Additional experience as a Medical Assistant or in supervisory roles, with skills in anatomy, communication, EMR, medical terminology, and physiology.
