Job Description : Medical Assistant/TMS Technician
We are seeking a compassionate, detail-oriented Medical Assistant to serve as the primary operator of our transcranial magnetic stimulation (TMS) equipment. This person will work closely with the psychiatrist and clinical team to prepare patients for treatment, operate the TMS equipment according to manufacturer guidelines and clinic protocols, monitor patients throughout treatment, document treatment sessions accurately, and provide a welcoming and supportive patient experience.
The ideal candidate is comfortable working with patients experiencing mental health conditions, demonstrates excellent attention to detail, and can follow established clinical and equipment protocols consistently.
Job Duties and Responsibilities:
- Prepare patients for TMS treatment and explain the treatment process according to clinic protocols.
- Operate the TMS device under the direction and supervision of the treating psychiatrist or other appropriately authorized clinician.
- Follow manufacturer instructions, clinic protocols, and established safety procedures for every treatment session.
- Assist with treatment setup, including appropriate patient positioning and placement of the TMS treatment apparatus.
- Monitor patients during treatment and promptly communicate any adverse symptoms, concerns, or changes in patient condition to the supervising clinician.
- Maintain a safe, calm, and professional treatment environment.
- Perform appropriate equipment checks and report equipment concerns or malfunctions promptly.
- Clean and maintain treatment equipment and the treatment area according to clinic procedures.
- Establish a professional and compassionate rapport with patients.
- Obtain and document relevant patient information and treatment-related observations.
- Monitor patient comfort before, during, and after treatment.
- Recognize and promptly report concerning symptoms or potential adverse reactions.
- Provide appropriate patient instructions before and after treatment as directed by the clinical team.
- Maintain patient privacy and confidentiality at all times.
- Communicate respectfully with patients, family members, providers, and members of the clinical team.
- Obtain vital signs and perform other MA duties within the scope of training, certification, and applicable requirements.
- Assist with patient intake, clinical forms, room preparation, and general clinic workflow.
- Maintain accurate and timely medical records.
- Assist providers with routine clinical and administrative tasks as needed.
- Monitor supplies and notify appropriate staff when items need to be reordered.
- Follow clinic policies on infection control, workplace safety, emergency procedures, and HIPAA compliance.

Minimum Qualifications:
- High school diploma or equivalent required.
- Current Medical Assistant certification or registration (CMA, RMA, CCMA, or another credential accepted by the clinic).
- Experience in a medical office, outpatient clinic, or comparable patient-facing setting.
- Strong attention to detail, dependable attendance, and proficiency with electronic medical records.
- Excellent communication and interpersonal skills.
- Ability to work independently within established protocols and promptly elevate clinical concerns.
- Ability to maintain professionalism and empathy when working with patients experiencing mental health conditions.
- Current BLS certification, or ability to obtain it within the clinic's required timeframe.
- Experience operating or assisting with TMS equipment.
- Experience in psychiatry, behavioral health, neurology, or other outpatient specialty care.
- Experience supporting patients through a course of recurring treatments.
- Familiarity with HIPAA and clinical documentation requirements.
- Experience with electronic medical records and scheduling systems.
