Essential Functions
BTST Services is looking for a Certified Medical Administrative Assistant who will play a crucial role in supporting the administrative operations of our agency. You will be responsible for various administrative and clinical tasks that ensure the smooth and efficient functioning of our quality patient care services. This position requires strong communication skills and a commitment to maintaining the highest standards of confidentiality and patient care.
Role Responsibilities
- Greeting, welcoming, and assisting all visitors
- Opening and Closing the Office
- Retrieving emails and voicemails
- Placing reminder/courtesy calls to confirm appointments with clients
- Managing the contact log for all client interactions such as rescheduling, same-day cancels, no-shows, and missed transportation
- Processing and managing medical records
- Coordinating and managing patient appointments to optimize provider availability and patient access
- Conducting patient interviews to collect and record medical histories accurately
- Assisting in completing necessary lab forms for clients
- Processing prior authorization forms, coding information, and communicating with Medicaid as needed
- Maintaining confidentiality and ensuring compliance with privacy regulations
- Handling patient inquiries professionally and effectively
- Managing incoming calls from prescribers regarding medication forms, adverse reactions, refills, and crises
- Providing clinical advice via phone and electronic communication following protocols
- Utilizing pediatric experience to care for pediatric clients
- Maintaining skills relevant to the age groups served
- Ensuring a safe, secure, and healthy work environment
- Relaying messages and updating patient charts accurately
- Performing other duties to meet agency goals and standards
Skills
- Proven experience as an office administrator or similar role
- Effective communication and interpersonal skills
- Knowledge of office management and basic accounting
- Proficiency in MS Office
Minimum Qualifications
- High School diploma or equivalent
- Completion of a recognized Medical Assistant Program
- Must obtain Medical Assistant Certification (CMA, CCMA, or RMA) within 90 days (sponsorship available)
- Healthcare experience preferred, especially outpatient clinical experience
- Knowledge of HIPAA and confidentiality regulations
- Strong organizational and communication skills
- Ability to work in a fast-paced environment
