Job summary

North Mechanical Contracting and Service in Indianapolis is seeking a detail-oriented Project Coordinator to support our Contracting Department. This full-time role focuses on project setup, documentation, job cost entry, purchasing paperwork, and billing coordination, working closely with Project Managers and Accounts Receivable to keep information accurate and moving forward.

The ideal candidate communicates clearly, stays organized, and learns new software quickly.

Qualifications

• The ideal candidate will have excellent written and verbal communication, problem-solving, organization, and attention-to-detail skills.
• The ability to prioritize multiple assignments and collaborate with Project Managers and other departments is essential.
• Strong computer skills, proficiency in Microsoft Office, and a willingness to learn new software programs are required.

Responsibilities

• Coordinate with Project Managers to support project goals and priorities
• Set up new projects and maintain accurate project information
• Coordinate with Accounts Receivable on project billings
• Organize and manage project documents and file structures
• Enter and maintain project job cost information
• Prepare purchase orders and subcontract documents
• Assist with project submittals and O&M documentation
• Process change orders and associated budget revisions
• Track administrative deliverables and follow up on outstanding items
