Job summary

Trautman & Shreve, Inc. in Colorado Springs is seeking a Project Coordinator to support the successful execution of mechanical service and construction projects.

You will coordinate activities, facilitate communication among stakeholders, and ensure administrative tasks are completed efficiently to maintain project organization throughout the lifecycle. You will work with project managers, field personnel, customers, vendors, and admins to help achieve project objectives.

Qualifications

• High School diploma or GED is required.
• Advanced proficiency with Accubid, Microsoft Project and Bluebeam.
• Familiarity with local municipal procedures for plan reviews, permitting, codes and inspections.

Responsibilities

• Assist with the coordination and administration of mechanical construction and service projects.
• Maintain project documentation, including contracts, submittals, RFIs, change orders, meeting minutes, and closeout documents.
• Support project scheduling, procurement, and material tracking activities.
• Coordinate communication between project managers, field teams, customers, subcontractors, and vendors.
• Prepare project reports, job cost updates, and other project-related documentation.
• Track project milestones, action items, and deliverables to support on-time completion.
• Assist with invoicing, purchase orders, and project billing processes.
• Support customer service efforts by responding to inquiries and coordinating project-related requests.
• Ensure project files and records are maintained accurately and in accordance with company standards.
• Promote a culture of safety, collaboration, accountability, and continuous improvement.
