Job summary

Federal Express Corporation in Plano, TX is seeking an experienced Administrative Assistant to provide high-level support to Managing Directors and the department. This role handles calendar management, travel arrangements, meeting setup, and preparation of materials for executive reviews.

The ideal candidate will have 5+ years of related experience, excellent written and verbal communication skills, meticulous organizational abilities, and proficiency with Microsoft Office.

Qualifications

  • Five (5) years related business experience.
  • Excellent oral and written communication and interpersonal skills for successful interface with all levels of management and non-management.
  • Ability to prioritize mail, telephone calls and compose correspondence for executive’s review and/or action.
  • Ability to plan, coordinate and execute meeting set-up and events, including providing agendas, detailed data, information and resources for executives.
  • Ability to use Microsoft Office software.

Responsibilities

  • Perform administrative duties in support of Managing Director(s) and department, which may include maintaining files, drafting correspondence, review incoming mail and preparing presentations
  • Assist with routine and special projects, which may include monitoring the progress of projects from initial request to completion
  • Handle internal and external customer inquiries; resolve issues and refer complex situations to appropriate level as required
  • Maintain calendar, coordinate and schedule meetings/ conference calls; provide material as appropriate for meetings/calls; may be required to take minutes during meetings and conference calls
  • Make travel plans and maintain itinerary for trips. Prepare any necessary materials for trip. Ensure that expenses are submitted for payment
  • Gather and compile information for regular and adhoc reports as needed by management and other staff
  • Perform other duties as assigned.
