Responsibilities

• Maintain material availability for customer shipments and production.
• Monitor shortages, update priorities, and track ETAs.
• Coordinate with suppliers and internal teams for on-time delivery.
• Plan and monitor material flow from suppliers to DCs and customers.
• Expedite shortages and resolve material constraints.
• Meet with suppliers to review open purchase orders.
• Track supplier performance and delivery risks.
• Coordinate vendor drop shipments from order to shipment.
• Process PO receipts and customer order transactions accurately.
• Ensure material availability at regional DCs.
• Coordinate expedited material movement through receiving/warehousing/shipping.
• Load and manage customer orders for internal stock replenishment.
• Validate inventory accuracy post-shipment.
• Coordinate on-site VMI vendors and outside suppliers.
• Monitor supplier performance and vet new suppliers.

Trinity Rail is hiring a Materials Planning & Scheduling Administrator for the Parts & Components Plant in Fort Worth.

This role supports integrated supply chain processes by coordinating material flow, aligning with suppliers, and maintaining inventory accuracy across distribution centers.The Materials Planning & Scheduling Administrator is responsible for ensuring material availability to support customer orders and production requirements. This role coordinates purchasing, suppliers, and internal functions to maintain accurate material status, minimize shortages, and support on-time delivery performance. The position operates in a fast-paced distribution environment, requiring strong coordination, data accuracy, and proactive problem-solving.

Qualifications

What you'll do:

• Maintain accurate availability status of materials required for customer shipments and production.
• Monitor opens shortages, update priorities, and track ETAs to minimize service disruptions.
• Coordinate with suppliers and internal production teams to support on-time delivery performance.
• Plan, schedule, and monitor material flow from suppliers to distribution centers and end customer.
• Expedite critical shortages and ensure timely resolution of material constraints.
• Meet regularly with suppliers to review, prioritize, and manage open purchase orders.
• Track supplier performance, delivery commitments, and material availability risks.
• Coordinate vendors drop shipment activities from order placement through shipment completion.
• Ensure timely and accurate processing of purchase order receipts and customer order transactions.

Distribution & Inventory Coordination

• Ensure material availability at regional distribution centers to support customer demand.
• Coordinate the movement of expedited material through receiving, warehousing, and shipping functions.
• Load and manage customer orders for internal stock replenishment and validate inventory accuracy post-shipment.
• Coordinate with on site VMI vendors to ensure appropriate stock levels, and order fulfillment
• Coordinate with outside suppliers on shop orders
• Manage a network of outside suppliers to ensure on time delivery, and customer order fulfillment
• Monitor supplier performance, and vet new suppliers for services when necessary
• Work with estimating and pricing on shop order involving outside suppliers
• Maintain accurate inventory balances and support continuous improvement in inventory control processes.

What you'll need:

• High school diploma required; associate degree or higher preferred
• 2+ years of supply chain, logistics, or materials coordination experience
• Experience working in ERP/MRP systems in a planning or transactional environment
• Proficiency in Outlook, MS Office applications, especially Excel
• Ability to work across the various functions of the organization and with external suppliers
