Job summary

Audubon Companies, in Houston, TX, seeks a Materials Coordinator to support AIMS-based materials management on EPC and construction projects. You will track material status, receiving, storage, and documentation to keep project teams informed for procurement and scheduling needs.

Responsibilities

  • Support implementation and consistent use of AIMS materials management workflows on EPC and construction projects.
  • Maintain project material records in AIMS, including status, quantities, PO references, dates, receiving information, and storage locations.
  • Coordinate with procurement, field teams, project controls, vendors, and stakeholders to obtain updates and resolve missing or inconsistent material information.
  • Assist with monitoring material requirements, commitments, deliveries, and shortages against project schedules; identify constraints and elevate issues.
  • Coordinate receiving site activities by confirming deliveries against PO/shipping info, document discrepancies or damage, and route issues for resolution.
  • Help ensure materials are identified, stored, and documented per project requirements and procedures.
  • Prepare and distribute routine AIMS and project material status reports, look-ahead information, and other records for the project team.
  • Assist review of material invoices and PO closeout by gathering receiving records and directing discrepancies to the responsible contact.
  • Provide basic AIMS and project materials process guidance to field and project users; onboard users and document questions or improvements.
  • Maintain accurate, timely project records and communicate status changes promptly.

JOB DESCRIPTION

Audubon is currently seeking a Materials Coordinator to join our team at the Houston, TX office. The Materials Coordinator supports the implementation and day-to-day use of Audubon’s AIMS materials management tools on EPC and construction projects. Coordinates project material tracking, documentation, receiving, storage, field updates, and reporting so project teams have reliable information to support procurement, construction, and schedule needs.

PRIMARY RESPONSIBILITIES
  • Support implementation and consistent use of AIMS materials management workflows on assigned EPC and construction projects, following established company and project procedures.
  • Maintain project material records in AIMS, including material status, quantities, purchase order references, required dates, receiving information, storage location, and supporting documentation.
  • Coordinate with project procurement, field teams, project controls, vendors, and other stakeholders to obtain updates and resolve missing or inconsistent material information.
  • Assist with monitoring material requirements, commitments, deliveries, and shortages against project schedules; identify potential constraints and elevate issues to the appropriate project or supply chain lead.
  • Coordinate receiving site activities by helping confirm deliveries against available purchase order and shipping information, documenting discrepancies or damage, and routing issues for resolution.
  • Help ensure materials are properly identified, marked, stored, and documented in accordance with project requirements and established procedures.
  • Prepare and distribute routine AIMS and project material status reports, look-ahead information, and other records required by the project team.
  • Support review of material invoices and purchase order closeout by gathering receiving records and other supporting documentation and directing discrepancies to the responsible project or procurement contact.
  • Provide basic AIMS and project materials process guidance to field and project users; help onboard users and document questions or recommended improvements.
  • Maintain accurate, timely project records and communicate status changes promptly. Perform other related duties as assigned.

EXPERIENCE AND SKILL REQUIREMENTS
  • Experience in project material tracking, construction coordination, procurement support, receiving, logistics, or project documentation preferred.
  • Experience using AIMS or another materials management or ERP system preferred; ability to learn project systems, spreadsheets, document repositories, and client reporting tools required.
  • Strong organization, communication, attention to detail, and follow-through skills.
  • Ability to coordinate effectively with field teams, project controls, procurement, vendors, clients, and other stakeholders.
  • Basic understanding of construction or EPC project workflows preferred. Willingness to travel to project sites as required.
