Job description

Position Overview

We are seeking a detail-oriented, organized, and dependable Marketplace Operations Coordinator to run the day-to-day operations of our ecommerce marketplace business across Amazon, Walmart, Target Plus, Mercado Libre, and other LATAM marketplaces.

This role reports to the Ecommerce Director and handles the hands-on work that keeps our marketplaces running: listing maintenance, inventory and shipment tasks, support cases, buyer messages, promotion setup, reimbursement claims, and compliance documentation. Strategy, pricing, advertising, and financial analysis are owned by other members of the Ecommerce team; this role carries out approved plans and flags issues quickly.

The ideal candidate is highly organized, follows process carefully, and is comfortable working in Seller Central, Walmart Seller Center, and similar platforms every day. They use AI tools such as Claude, connected to our marketplace data, to run standard checks and reports, and they verify the results before acting on them.

Key Responsibilities
1. Daily Marketplace Operations
  • Run daily checks across Amazon, Walmart, Target Plus, Mercado Libre, and other LATAM marketplaces for suppressed or inactive listings, Buy Box loss, out-of-stocks, and account health alerts, and resolve or elevate each issue.
  • Open and manage marketplace support cases, ensuring timely follow-up and resolution, and maintain the case log.
  • Respond to Amazon buyer messages and Walmart customer inquiries within marketplace response-time requirements, escalating product or quality concerns.
  • Process marketplace returns, refund requests, cancellations, and order exceptions, and acknowledge and confirm shipment on seller-fulfilled Walmart orders.
  • Monitor for pricing errors, MAP violations, and unauthorized sellers, and report findings to the Ecommerce Director. This role does not make price changes.
2. Inventory & Fulfillment
  • Flag out-of-stock and aging inventory risks to Operations and Supply Chain, who own replenishment decisions.
  • Create FBA inbound shipments (Send to Amazon), AWD replenishment orders, and WFS inbound shipments using quantities approved by Operations and Supply Chain.
  • Provide FNSKU, carton, and pallet labels to our 3PLs and confirm shipments are labeled and shipped on time.
  • Track inbound shipments through receipt, reconcile shipped versus received quantities, and follow up on fulfillment exceptions.
  • Submit and track inventory reimbursement claims for lost, damaged, and unreceived inventory, and maintain the claims log.
  • Manage stranded inventory, removal orders, and lot and expiration date information.
3. Product Listings & Catalog Data
  • Make approved updates to product listings, including titles, descriptions, images, attributes, keywords, and variations.
  • Complete marketplace item setup templates and upload approved images, videos, and A+ Content.
  • Troubleshoot listing errors, suppressed products, variation issues, and catalog discrepancies.
  • Maintain the product master sheet (SKU, ASIN, UPC/GTIN, Walmart item ID, case pack, dimensions) and assign GS1 barcodes to new items.
  • Send all claim and ingredient wording changes to Regulatory for approval before publishing.
4. New Product Launches & LATAM Marketplace Support
  • Complete listing setup and launch readiness checklists for new products.
  • Support the setup of new marketplace accounts and Mercado Libre and other LATAM listings, including product registration and required documentation.
  • Track launch timelines, identify potential delays, and follow up with internal teams on missing content, inventory, or documents.
5. Promotions Setup
  • Set up coupons, deals, seasonal sales events, Subscribe & Save, and Vine enrollments from the approved promotion calendar.
  • Confirm promotions go live as scheduled, and flag eligibility issues or setup errors.
6. Account Health, Compliance & Brand Protection
  • Monitor account health, seller performance, and policy notifications, and elevate issues the same day.
  • Gather documents and evidence for account appeals, listing restrictions, and category approvals; appeals are written and submitted by the Ecommerce Director.
  • Coordinate dietary supplement compliance documentation (such as testing and verification requests) with Regulatory and Quality.
  • Ensure listing content follows marketplace policy and Regulatory guidance (no disease claims; structure/function claims per DSHEA).
  • Monitor customer reviews, ratings, and return reasons, and log recurring complaints for the Ecommerce and Quality teams.
  • File Brand Registry, counterfeit, and unauthorized seller reports as directed.
7. Reporting with AI Tools
  • Use Claude and our connected marketplace tools (Amazon Seller Central, Walmart, Helium 10, Stackline) to produce standard daily, weekly, and monthly sales, inventory, and operations reports, rather than downloading reports manually.
  • Check AI-generated output against source data before sharing it, report data gaps or errors, and follow company data security and confidentiality guidelines.
  • Pull supporting data on request for the Ecommerce, advertising, and Finance teams.
  • Suggest improvements to SOPs and standard AI workflows that reduce repetitive manual work.
8. Coordination & Documentation
  • Work with Ecommerce, Operations, Supply Chain, Regulatory, Finance, and our 3PLs to resolve shipment, inventory, and order issues.
  • Communicate with marketplace representatives, account managers, and external service providers.
  • Maintain marketplace operational trackers and standard operating procedures (SOPs) for each recurring task.
  • Monitor marketplace policy updates and fee changes, and summarize them for the team.

  • Hands-on experience with Amazon Seller Central and/or Walmart Seller Center.
  • Working proficiency in Microsoft Excel or Google Sheets, including pivot tables, lookups, and filters.
  • Experience using AI tools such as Claude, ChatGPT, or similar platforms in daily work, and the judgment to check their output.
  • Excellent attention to detail and follow-through, with the ability to handle a high volume of recurring tasks accurately.
  • Strong written and verbal communication skills, including with marketplace support teams.
  • Comfortable following SOPs and learning new ecommerce platforms and tools quickly.
Preferred Qualifications
  • Bachelor's degree in Business, Marketing, Supply Chain, or a related field.
  • Experience with FBA inbound shipments, AWD, WFS, and third-party logistics coordination.
  • Experience with Helium 10, Stackline, or similar ecommerce data tools.
  • Experience filing reimbursement claims and marketplace support cases.
  • Experience with dietary supplements, personal care, health and wellness, or other regulated consumer packaged goods.
  • Experience with Mercado Libre or other LATAM marketplaces.
  • Spanish proficiency strongly preferred; Portuguese is a plus.
Key Performance Indicators

Performance may be evaluated based on:

  • Listing Health: Suppressed or inactive listings resolved within 48 hours.
  • Response Time: Buyer messages answered within 24 hours; open support cases followed up on schedule.
  • Shipment Accuracy: Inbound shipments created accurately and on schedule; shipped versus received discrepancies resolved.
