Soliant is seeking a Marketing Project Coordinator – Sales Engagement & RFP to provide project coordination and operational support to the Sr. Project Manager and Sales Engagement + RFP team.

You will help ensure timely and accurate management of client-driven RFP opportunities from identification through award and transition to contracting and sales teams. The role monitors RFP signals, routes inquiries, maintains records across brands, and supports follow-up activities to keep processes moving

Job description

The Marketing Project Coordinator – Sales Engagement & RFP provides project coordination and operational support to the Sr. Project Manager and Sales Engagement + RFP team, helping ensure the timely and accurate management of client-driven RFP opportunities from initial identification through award and transition to contracting and sales teams.

This role is responsible for monitoring and routing RFP opportunities, coordinating communications, tracking submissions and outcomes, maintaining accurate records and documentation, and supporting follow-up activities across multiple Soliant brands. The RFP Coordinator works closely with the Sr. Project Manager, VP and Director of Sales Engagement & RFPs, Sales, Contracts, Marketing, and other internal stakeholders to help keep RFP activities organized, on schedule, and moving efficiently through the process.

The position will also provide general project and administrative support to the Sr. Project Manager on additional initiatives and special projects as needed.

ESSENTIAL FUNCTIONS:

• Monitors RFP signals in Bid Management Tools, reviewing opportunities for relevance, scope, and brand alignment, and routes qualified opportunities to the appropriate Soliant brand(s).
• Monitors and manages incoming communications received through branded Sales Engagement email addresses, ensuring inquiries and opportunities are routed to the appropriate stakeholders in a timely manner.
• Maintains online RFP portal access and credentials across Soliant brands, ensuring information is accurate, current, and readily accessible to authorized team members.
• Coordinates client follow-up to obtain RFP award decisions and outcomes, ensuring results are documented in project management and CRM tools and communicated to the appropriate internal teams.
• Supports the transition of awarded RFPs by collaborating with the Contracts team to ensure winning RFPs and related documentation are uploaded and properly maintained in the Contract Management System.
• Provides project coordination support to the Sr. Project Manager and Sales Engagement + RFP team, including tracking action items, deadlines, deliverables, and follow-up activities.
• Assists with additional RFP-related projects and initiatives as assigned.

SECONDARY FUNCTIONS:

• Assists with proofreading, formatting, compiling, and quality-checking RFP responses and final deliverables as needed.
• Conducts research and provides administrative support to Brand Marketing teams in identifying and securing piggyback agreement opportunities.
• Assists with special projects, process improvements, and other related duties as requested.

EDUCATION/EXPERIENCE & OTHER POSITION REQUIREMENTS:

• 1 - 3 years of work experience in project management, operations, sales support, communications, and/or marketing role.
• Strong verbal and written communication skills, with attention to detail in editing and proofreading.
• Strong organizational, time-management, and multi-tasking skills, with the ability to manage multiple priorities and deadlines simultaneously.
• Highly detail-oriented and process-focused, with a commitment to accuracy and follow-through.
• Comfortable working in a fast-paced, deadline-driven environment with changing priorities.
• Experience working in project management and CRM systems is a plus.
• Experience in the staffing services industry or familiarity with staffing solutions is a plus.
• Previous RFP, sales, project management, or marketing experience is a plus.
