Summary
The Marketing Executive Admin./Project Coordinator will perform executive clerical and administrative duties at a high level, providing support and project coordination to the Chief Marketing Officer, Director of Marketing, and Director of Player Development.
Responsibilities
- Assist with special projects, property events, promotions calendars, and other assigned projects.
- Manage employee payroll records using proper forms and Kronos.
- Enter requisitions into the Red Rock Purchasing Program.
- Assist with monthly TCR updates and Marketing Action Items processes.
- Draft or revise Marketing Department contracts using pre-approved templates for legal review.
- Manage contracts and Action Items for Tribal Council approvals and signatures.
- Oversee STGC submissions and notifications.
- Facilitate effective communication via email, memos, and presentations within the Marketing department and with other departments, maintaining professionalism and positive communication.
- Support CMO in developing Excel reports and analyzing marketing data.
- Assist with PowerPoint presentations preparation.
- Prepare correspondence, reports, forms, charts, and graphs as needed.
- Coordinate outdoor advertising invoices and contracts, liaising with Accounts Payable.
- Maintain all reports and information relevant for auditing.
- Collaborate with Accounts Payable on invoicing related to media buys, unless contracted to a Marketing Agent of Record.
- Screen and manage telephone calls.
- Organize and maintain files, records, correspondence, and reports efficiently.
- Maintain confidentiality of proprietary information and protect company assets.
- Build and sustain positive working relationships, supporting team goals.
- Order, distribute, and monitor supplies.
- Handle memo distribution and photocopying for the department.
- Maintain a reliable and consistent work schedule in accordance with business needs.
- Perform additional projects, tasks, or duties as assigned.
Qualifications
- Must be 21 years or older.
- High School Diploma or equivalent required.
- Associate’s Degree in Business Administration or similar field preferred.
- At least 2 years of experience in an executive administrative role, preferably in marketing administration.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Red Rock Purchasing and Kronos required.
- Experience with mathematical calculations, budgeting, and spreadsheets necessary.
- Excellent organizational, verbal, and written communication skills required.
- Ability to demonstrate the required knowledge, skills, and abilities through education, experience, and training.
- Must prove eligibility to work in the United States.
Licenses and Certifications
- Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license.
- Must pass drug and alcohol testing as required.
