Job summary

Hensel Phelps in Nashville is seeking a Marketing Coordinator to support the Project Development team with RFQs, RFPs, proposals, and marketing materials. The role also involves creating content, coordinating projects, and maintaining data across marketing systems.

You will collaborate with senior staff to craft compelling materials, contribute to social campaigns, and assist with events and subcontractor communications, while upholding branding standards and quality control.

Qualifications

  • Bachelor's degree in marketing, public relations, communications or related field.
  • 1-3 years of marketing experience, preferably in the A/E/C industry.
  • Must be proficient in Microsoft Office suite software (Word, Excel, PowerPoint, etc.)
  • Must be proficient in Adobe Creative Suite (InDesign, PhotoShop)
  • Experience with CRM systems
  • Advanced writing, editing, and proofreading skills
  • Strong ability to multi-task and pay close attention to details
  • Self-motivated with a collaborative mindset and the ability to work independently, within teams, and across departments
  • Ability to develop and foster professional relationships

Responsibilities

  • Assist with responses to RFQs and RFPs, including presentations and interviews, collaborating with senior staff to write, edit, verify, design, and format content for proposals and marketing materials.
  • Create marketing materials including informational documents, displays, and brochures that contribute to strategic communications planning.
  • Ensure proposals and marketing deliverables clearly communicate the overall theme and reflect technical scope and team qualifications.
  • Maintain project and employee data, including photography, updating company databases and visiting jobsites when necessary.
  • Generate reports and manage information within internal systems to support marketing efforts.
  • Collaborate with office leadership and project teams on internal initiatives such as presentations, tradeshows, and events.
  • Keep the Project Development team informed on milestones and PR activities, coordinating approvals.
  • Coordinate and write industry award submittals.
  • Engage with local industry groups and nonprofits to contribute to community development.

Hensel Phelps is seeking a detail-oriented and proactive Marketing Coordinator to join the Project Development team. This individual will play a vital role in supporting a wide range of marketing functions, primarily through the preparation of proposals, qualifications, award submittals, and presentation materials. Additional responsibilities include contributing to social media content, assisting with project milestone coordination and jobsite visits, and supporting community volunteer efforts. This position also offers opportunities to develop creative content while maintaining alignment with the company’s brand and messaging standards. The ideal candidate will demonstrate initiative, sound judgment, and discretion while operating in a fast-paced environment. The role requires strong organizational capabilities, the ability to manage multiple priorities under tight deadlines, and a commitment to collaborative success. Key Responsibilities
  • Assist with responses to Requests for Qualifications (RFQs) and Requests for Proposals (RFPs), including presentations and interviews, collaborating with senior staff to write, edit, verify, design, and format technical and non-technical content for proposals and marketing materials.
  • Create marketing materials including informational documents, displays, and brochures that contribute to the overall strategic communications planning and implementation.
  • Ensure proposals and marketing deliverables clearly communicate the overall theme, accurately reflect technical scope and team qualifications, meet RFP requirements, and are timely, high-quality, and visually compelling through thorough quality control reviews.
  • Help maintain project and employee data, including photography, by regularly updating company-wide databases, which may include visiting jobsites to collect and upload accurate, up-to-date information.
  • Generate reports and effectively manage information within internal systems to support project and marketing efforts.
  • Collaborate with office leadership and project teams on internal initiatives such as presentations, tradeshows and special events.
  • Keep the Project Development team informed on key project milestones and public relations activities, providing background and facilitating approval processes.
  • Coordinate and write industry award submittals.
  • Engage with local industry groups and nonprofit organizations as an active member, contributing to community and professional development.
Minimum Education Required

Bachelors

Additional Qualifications/Responsibilities

Education

BA degree in marketing or related field of study 4 years of marketing experience and /or a combination of education and experience.
