Barnard College seeks a Manager, Planned Giving Operations to lead the planned giving infrastructure, ensuring data integrity, policy compliance, and donor stewardship across the end-to-end lifecycle of deferred gifts.

This role collaborates with Advancement Services, Finance, and external partners to oversee reporting, asset transfers, and preparation for audits, while guiding staff and maintaining CASE-aligned processes.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • Three to five years of related experience, preferably in an academic setting.
  • Familiarity with planned giving industry, CASE standards, and government regulations.
  • Ability to work under pressure and adapt in a dynamic environment.

Responsibilities

  • Direct the planned giving operational calendar and coordinate the gift annuity filing and compliance schedule.
  • Oversee tracking system for estate and life income gift processes, including gift booking forms and CRM data.
  • Liaise with Advancement Services, Finance, and external partners (e.g., State Street Bank, PG Calc) and oversee reporting and asset transfers.
  • Prepare for internal and external financial audits and generate reports for leadership and regulators.

Job Title

Manager, Planned Giving Operations

Reports to: Senior Director, Planned Giving

Overview

The Manager, Planned Giving Operations serves as the strategic manager of the planned giving infrastructure, maintaining the technical and compliance framework necessary to sustain a high‑growth legacy giving program. The role oversees the end‑to‑end lifecycle of deferred gifts, ensuring data integrity, policy compliance, and donor stewardship, and serves as a key collaborator between frontline fundraising and technical operations.

Duties & Responsibilities
  • Direct the planned giving operational calendar and coordinate the execution of the gift annuity state filing and compliance schedule.
  • Oversee tracking system for estate and life income gift processes, including preparing gift booking forms and tracking data in CRM.
  • Serve as operational liaison to Advancement Services, Finance, and external partners (e.g., State Street Bank, PG Calc), oversee CGA reporting, and ensure seamless asset transfers.
  • Lead preparation for internal and external financial audits, synthesizing gift data into actionable reports for department leadership and regulatory bodies.
  • Manage technical aspects of estates and life income gifts, overseeing creation of gift booking forms and ensuring documentation aligns with CASE standards and regulations.
  • Manage specialized logistics for the Vice President and President regarding signature‑authority items and notary services for legal gift documents.
  • Ensure data integrity and accuracy by requesting donor data lists, updating coding, adding opportunities and activity reports, and resolving issues in planned giving areas.
  • Stay current in the field of Planned Giving, particularly government regulations and industry guidelines.
  • Provide logistical support for meetings and events.
  • Train and supervise Barnard students who work in the office as needed.
  • Perform other duties and related projects as assigned.
Skills, Qualifications & Requirements
  • Strong project management, multitasking, and deadline‑meeting abilities.

  • Excellent oral and written communication, financial acumen, and problem‑solving skills.
  • Patience, diplomacy, and tact in dealing with public, estate executors, prospects, administrators, trustees, and alumnae.
  • Proficiency with database management and Microsoft Office.
  • Ability to work independently and collaboratively within a team; collegial work style.
  • Ability to exercise good judgment and handle confidential information.
  • Ability to occasionally work outside standard hours, including weekends and evenings.

Additional Information

Hybrid work: minimum 3 days in‑office weekly, with presence during busy periods, staff meetings, and events.

Salary range: $66,500 – $71,500. Salary will be determined based on qualifications, experience, and other factors.
