Job summary

Campbell Hall in Studio City, CA, seeks a dedicated Manager of Extended Day Programs to lead and coordinate after-school services for elementary through middle school students. The role requires planning, organization, leadership, supervision, and collaboration with the Elementary leadership and HR.

Responsibilities include staffing, timesheets, payments, vendor contracts, licensing and compliance, billing, registration systems, and coordinating with the Business Office on budget matters.

  • Manage CampBrain registration database; communicate with parents on enrollment and payments.
  • Use EMS reservation system to secure space for programs.
  • Coordinate with Operations regarding Elementary bus riders.
  • Liaise with off-campus food services regarding lunch; supervise lunch/recess; coordinate volunteers.
  • Prepare all written/electronic materials for extended day programs for website/newsletter.
  • Collaborate with HR to plan childcare on non-student days.
  • Coordinate with the Business Office on budget and monitor expenses.
  • Participate in/assist with other duties and routines as needed.

Campbell Hall, founded in 1944 and situated on 14 naturally-wooded acres in Studio City, California, is an independent, all-gender, college preparatory, Episcopal day school for students in kindergarten through grade twelve.

Summary:

Reporting to senior leadership, the Manager of Extended Day Programs is responsible for managing high-quality extended day programs. This position requires skill in planning, organization, leadership, and supervision. In addition, it requires creativity, flexibility and substantive experience working with young children, adolescents, and young adults. This is a 12-month, full-time position.

Responsibilities:
  • Manage and schedule all extended day programs for the academic school year in accordance with Campbell Hall's mission and philosophy.

  • Collaborate with the Elementary leadership regarding extended day programming for the academic year.

  • Supervise, manage, and train the extended day staff (hiring process, scheduling and annual evaluations). Partner with HR to ensure timely completion of the hiring/onboarding process with new hires.

  • Review and approve weekly timesheets for staff on a weekly basis.

  • Prepare payments for all teachers, staff and 3rd party vendors providing extended day programs in coordination with the Business Office.

  • Manage agreements and compliance measures with outside vendors.

  • Manage SchoolPass program and oversee preparation of monthly billing to families in coordination with the Business Office.

  • Manage CampBrain registration database for extended day programs. Communicate with parents to support enrollment, scheduling and payment collection.

  • Use the operations department’s EMS reservation system to secure space for programs.

  • Coordinate with the Operations department regarding Elementary bus riders.

  • Liaise with off-campus food services regarding elementary lunch service. Coordinate staff to supervise the lunch/recess period for elementary students. Coordinate parent volunteers to help with lunch service.

  • Prepare all written/electronic materials for extended day programs, including program descriptions and schedules to be shared with the Communications team for inclusion on the website and weekly parent newsletter (WAAG).

  • Collaborate with the Director of Human Resources to plan faculty/staff childcare on non-student faculty-only days.

  • Coordinate with the Business Office regarding the extended program’s budget and monitor expenses.

  • Participate in/assist with other duties and routines, as needed.

General Work hours:

9 am - 5:30 pm, additional hours may be required, at times

Classification:

Exempt

Salary Range:

$80,000 - $95,000

  • Continuously (66%–100% of the workday):
    • Communicates carefully to interact with children, parents, and staff.
    • Utilizes close visual acuity to monitor children across various indoor and outdoor spaces.
    • Operates a computer, tablet, and smartphone for administrative and scheduling tasks.
  • Frequently (34%–65% of the workday):
    • Moves about the campus to escort students to other areas of campus and monitor activities.
    • Positions self to interact with children at their eye level (stooping, kneeling, or crouching).
    • Transports and moves program supplies, snacks, or activity equipment weighing up to 25 pounds.
    • Remains outdoors during recreational activities in varying weather and temperature conditions.
