This part‑time position is responsible for supporting the financials for grants, proposals, and sponsorships to foundations, corporations, and government agencies. This includes the development of project budgets, post‑award budget revisions, project expense tracking of awarded funds, and the reporting of project expenses. The ideal candidate for this position will enjoy working on all areas of the grant lifecycle, with a keen eye to detail, strong time management skills, and an interest in being a collaborative member of the funding team. The Manager, Grants Administration will support the Community Impact Team with up‑to‑date financials for the purpose of timely, informed decision‑making to better serve our region.

The Manager, Grants Administration will report to the Senior Director of Grants Management. This position will work independently to help ensure financial reporting is accurate, consistent, and aligned across various funders and projects. Performance is determined by both the accuracy of materials prepared and the satisfaction of team members, partners, and funders.

Primary Responsibilities
  • Draft project budgets for grants, proposals, and sponsorships based on past expenses and funder guidelines.
  • Provide financial information and attachments for grant submissions and reporting as needed.
  • Track and organize award notifications and receipts for accurate reporting. Update monthly preliminary release spreadsheets by project codes to be discussed at monthly, in‑person release meetings, including pulling payroll and fringe by staff person.
  • Update monthly cashflows to reflect changes in project timelines.
Secondary Responsibilities
  • Inform Community Impact Team on available funds for resource purchasing.
  • Attend weekly meetings with Community Impact Team to support workflow and collaboration on grant and reporting requirements.
  • Develop a knowledge of Nine PBS’s initiatives and goals, with the ability to communicate effectively both orally and in writing.
  • Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Qualifications

At least three years of non‑profit budget and financial reporting experience. Strong skillset using Excel, Sage, Google Docs, Office 365, and Outlook required. In addition, the following skills and attributes are preferred.

  • Experience working closely with community organizations in a professional capacity, preferably related to early learning, or some aspect of community engagement.
  • Strong customer service, communication, organizational, and planning skills.
  • Proven ability to work collaboratively across multiple teams to fully understand organizational needs.
  • Knowledge of grant financial tracking for non‑profit organizations.
  • Understand various tracking and reporting strategies in line with the funding guidelines of corporate, foundation, and local/state/federal agencies.
  • Proven ability to prioritize, work independently, under pressure, meet deadlines, and take direction.
  • Ability and willingness to work a varied schedule, when needed.
  • Proven ability to handle interactions with diplomacy, give and receive feedback comfortably, and be a contributing team member at all times.
Hybrid Schedule

This position is eligible for a hybrid schedule, typically working up to three days virtually each week, upon approval from supervisor. Must work on‑site on Tuesdays, as well as attend all team meetings, one‑on‑one meetings, and all‑staff meetings.
