Job Summary
The Facility & Fleet Manager is responsible for the oversight and coordination of facility maintenance, fleet operations, and mail services to ensure efficient workflows, regulatory compliance, and high customer satisfaction. This role supervises a team including the Maintenance Lead, Fleet Worker, and Mail Courier, while managing service orders, asset tracking, contractor relationships, and facility-related compliance activities. The position also supports budgeting, purchasing, and documentation efforts, and partners with internal stakeholders to ensure timely, cost-effective operations across all areas.
Essential Functions
- Oversee maintenance, repairs, renovations, and overall facility operations to ensure minimal disruption and increased efficiency.
- Conduct regular inspections, manage work orders from validation to completion, and ensure detailed documentation and customer follow-up.
- Supervise the Fleet Worker and manage all aspects of fleet operations, including vehicle maintenance, service coordination, lease administration, asset tracking, and ensuring compliance with legal requirements.
- Maintain vehicle condition, cleanliness, and service records.
- Direct, train, and assign tasks to maintenance, fleet, and mail personnel.
- Ensure all responsibilities are carried out effectively and efficiently.
- Manage performance of service contractors, including annual reviews, bid preparation, and verification of insurance and contract compliance.
- Maintain working relationships with landlords and identify suitable service providers.
- Support operating and capital budget preparation.
- Review and approve building-related invoices, process purchasing and contract paperwork, and manage funding requests.
- Act as the compliance point of contact for facilities, including monthly walkthroughs and inspections.
- Collaborate with the Facilities Project Manager to meet all maintenance-related regulatory requirements.
- Develop emergency procedures in coordination with directors and operational staff.
- Oversee the Mail Courier and ensure timely, consistent execution of daily mail responsibilities.
- Oversee and manage all safety and security programs, ensuring compliance with state, federal, and regulatory requirements.
- Develop and maintain emergency management plans, including drills, to promote preparedness and business continuity.
- Inspect facilities for hazards, implement corrective measures, and ensure the upkeep of safety, security equipment, and emergency communications system.
- Supervise and train security personnel, respond to emergencies, and coordinate with law enforcement when needed.
- Communicate regularly with employees and tenants regarding safety/security incidents and provide training to new hires.
- Investigates safety and security complaints, incidents, and prepares appropriate reports to include review annually of safety and security policies and procedures.
- Employ excellent interpersonal and communication skills to liaise with staff and vendors.
- Monitor key performance indicators including service order completion times, material/labor costs, and customer satisfaction survey results.
- The environment at Diversus Health is fluid and roles and responsibilities may be altered to accommodate changing business conditions and objectives. Employees may be asked to perform duties that are outside specific work that is listed within their job descriptions. This position may require you to work standard hours, as well as flexible hours both before and after standard hours, may include work in excess of 40 hours in a work week as necessary to the position’s needs.
- Mobility Clause: Based on business need, this position may be needed to work and/or travel on a temporary basis at any premises which the agency currently has or may subsequently acquire or at any premises at which it may from time to time provide services. This position may require that the employee travel with or without notice as needed within the scope of the position responsibility.
Knowledge/Skills/Abilities
- High School Diploma or GED required.
- Minimum 3-years’ experience in commercial property maintenance.
- Good mechanical ability including formal training or experience in the following areas: carpentry, plumbing, electrical, painting, drywall, and refurbishing.
- Flexible and able to work with people of varied social and cultural backgrounds.
- Ability to perform job duties with a high degree of accuracy.
- Ability to work in a fast-paced environment with competing priorities.
- Strong verbal and written communication skills.
- Valid Driver's License with clear MVR that complies with organizational insurance requirements

Physical Requirements: This position involves working in a mixed environment that includes office settings, facilities spaces, and outdoor areas. The role requires the ability to sit or stand for extended periods while using a computer, communicating with team members, and performing administrative tasks. Regular movement throughout buildings and grounds is necessary to inspect facilities, coordinate maintenance work, and interact with staff and vendors. The position may involve occasional lifting of up to 50 pounds related to equipment, tools, or materials. Climbing ladders, walking across uneven surfaces, and exposure to varying weather conditions may be required during facility checks or fleet coordination. Local travel, including driving fleet vehicles, is expected as part of regular duties. Flexibility in working hours, including early mornings, evenings, or weekends, may be required to respond to urgent maintenance needs or facility-related emergencies.
