Employee Type: Part-Time – 30-35 hours per week
Oversees the daily operations of facility services for all OAA office locations. Ensures that OAA Offices are maintained at a high level of cleanliness and all safety standards are upheld. Supervises and coordinates courier staff schedules. Completes miscellaneous projects as assigned.
Essential Functions
- Responsible for the efficient, timely, and accurate completion of facility maintenance functions. Coordinates the maintenance of office space in all locations.
- Assists Leadership Team in developing short- and long-term goals and strategies. Provides suggestions and recommendations.
- Responsible for effective communication, coordination, and working relationships with external clients, customers, contractors, and officials.
- Initiates and negotiates bids with contractors.
- Responsible for the positive and prompt response to maintenance requests through the Facilities Ticketing system.
- Performs regular “sweeps” of the workspace(s) to identify areas/items/equipment/materials in need of repair, replacement, or upgrade.
- Coordinates building inspections and compliance and oversees inspection and testing of projects, identifying and resolving issues quickly and effectively.
- Coordinates and communicates office fire marshal inspections with Property Management Group.
- Collaborates with Director of Clinical Operations in preparing Emergency Preparedness programs.
- Collaborates with Safety Officer, communicates concerns, provides recommendations, and monitors resolution to ensure compliance with safety policies and regulations.
- Responsible for negotiating service contracts – HVAC, Extinguishers, Cleaning Maintenance, Casting and X-Ray Equipment, Snow Removal, etc.
- Regulates workflow to ensure maximum efficiency. Monitors utilization of equipment, facilities, and personnel.
- Works closely with other departments to maintain schedules and implement operational changes.
- Manages and schedules part-time Courier staff, trains, advises, and conducts performance appraisals.
- Maintains effective communication and working relationships with all Co-workers and management.
- Other duties as assigned.
Supervisory Responsibilities
Supervises Couriers, assigns work schedules, participates in hiring, and oversees performance management.
Qualifications
- 3-5 years of prior facility management experience.
- Excellent understanding of facility management procedures.
- Knowledge of budgeting, service contracts, and leasing agreements.
- Experience supervising staff.
- Decision-making and team leadership skills.
- Strong communication, organizational, and problem-solving skills.
- Ability to multitask and excellent listening skills.
- Effective communication and relationship-building abilities.
