Job summary

The City Colleges of Chicago Foundation seeks a qualified Manager-CCC Foundation (CCCF) Programs and Financial Planning to lead portfolio-level budgeting, forecasting, and financial reporting for large-scale, multi-year fundraising initiatives.

You will collaborate with principal investigators, grants managers, and CCC leadership to design budgets, monitor spend, analyze funding gaps, and ensure donor compliance while delivering data-driven insights for strategic decision-making.

Qualifications

  • Experience managing program or grant budgets, ensuring fiscal compliance and/or general accounting structures for grants.
  • Experience working with grants, including reporting, compliance, and funder communications.
  • Demonstrated success implementing projects in a complex organization.
  • Working knowledge of public funding sources (city, state, and federal) and the private philanthropic community.
  • Excellent written and verbal communication skills.

Responsibilities

  • Facilitates portfolio-level financial planning and ongoing monitoring of foundation funded program budgets.
  • Designs, develops, and manages multi-year, multi-million-dollar program budgets with PIs and the Foundation team.
  • Forecasts program spend rates and monitors spend-down timelines while identifying risks.
  • Provides regular analyses and strategic recommendations to leadership on funding gaps and budget adjustments.
  • Tracks and updates financial information for priority campaigns and integrates it into leadership reporting.
  • Assists in proposal budget development for grants and aligns with campaign priorities.
  • Supports grant financial reporting and ensures compliance with funder requirements.
  • Maintains knowledge of fund balances, expenditures, and grant activity to aid reconciliation and planning.
  • Develops and maintains financial tracking tools and dashboards using Salesforce and other systems.

PRIMARY OBJECTIVE

Reporting to the Associate Vice Chancellor (AVC), Development andMajor Gifts, the Manager-CCC Foundation (CCCF) Programs andFinancial Planning serves as a key partner to the FoundationPresident and AVC to ensure portfolio-level financial planning andbudget management for large-scale, multi-year fundraising priorityinitiatives.

The Manager-CCCF Programs and Financial Planning willfacilitate budget planning processes, including the development andoversight of multi ‑ year program budgets, and provide data ‑driven insights to support informed leadership decisions regardingfundraising activities, program budgets, and timely donor financialreporting.

This role will also support effective grant administration byensuring alignment between budgets, grant performance periods,donor intent, and CCCF fundraising activities, as well as CCCfinancial and grant management processes. Through clearcommunication, financial expertise, and effective budgetmanagement, this role will demonstrate measurable outcomes andsupport the achievement of the Foundation’s fundraising goals andthe long-term sustainability of philanthropically fundedprograms.

ESSENTIAL DUTIES
Financial Planning and Analysis
  • Facilitates portfolio ‑ level financial planning and ongoingmonitoring of foundation funded program budgets and campaignssupported by various funders and awards.
  • Partners with City Colleges Principal Investigators (PIs) andthe Foundation’s Development team to design, develop, and managemulti ‑ year, multi-million-dollar program or campaignbudgets.
  • In collaboration with PIs and grant managers, forecasts programspend rates, monitors spend ‑ down timelines, and identifies risksrelated to underutilization or overextension of funds.
  • Provides regular analysis and strategic recommendations toFoundation leadership regarding funding gaps, remaining needs, andbudget adjustments.
  • Tracks, synthesizes, and continuously updates financialinformation related to priority fundraising campaigns, includingpipeline activity, anticipated awards, and funds secured, andintegrates this information into portfolio ‑ level financialplanning, forecasting, and leadership reporting.
Grant and Proposal Budget Development
  • Assists in the development and preparation of proposal budgetsfor new and renewal grant opportunities, ensuring alignment withexisting commitments, campaign priorities, and long-termsustainability.
  • Advises on appropriate financial terms, performance periods,and budget frameworks for grant agreements based on current andprojected funding.
  • Supports the development of financial sustainability andcontinuation strategies for grant-funded programs.
Grant Lifecycle Financial Support
  • Participates in cross-functional planning efforts related todistrict-wide grant applications and major fundraisinginitiatives.
  • Partners with the grants management team, PrincipalInvestigators (PIs), and Foundation leadership on required grantfinancial reporting, ensuring accuracy, consistency, and compliancewith funder requirements.
  • Coordinates with finance teams and PIs on grant modifications,no ‑ cost extensions, and closeouts, with a focus on financialintegrity and strategic continuity across programs.
  • Maintains a current understanding of fund balances,expenditures, and grant activity to support reconciliation,reporting, and informed planning.
Data, Reporting and Continuous Improvement
  • Develops and maintains financial tracking tools, dashboards,and reports, using Salesforce and other systems, that providevisibility into portfolio performance across campaigns.
  • Supports the preparation of financial components of impactreports, program updates, and leadership briefings.
  • Identifies and implements opportunities to enhance financialplanning processes, tools, and cross-functional coordinationrelated to CCCF-supported programs.
  • Performs other duties as assigned.

QUALIFICATIONS
  • Bachelor’s degree from an accredited college or university inFinance, Business Administration, or a closely related fieldrelevant to fundraising and institutional advancement.
  • Minimum of four (4) years of progressively responsible workexperience in finance, data, research, program management, proposaldevelopment, or grant management.
  • Experience managing program or grant budgets, ensuring fiscalcompliance and/or general accounting structures for grants.
  • Experience working with grants, including reporting,compliance, and funder communications.
  • Demonstrated success implementing projects in a complexorganization.
  • Working knowledge of public funding sources (city, state, andfederal) and the private philanthropic community.
  • Understanding of post-secondary education, equity, andcommunity issues is a plus.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal and group communication skills.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and collaboratively.
  • Ability to work effectively within a culturally diverseenvironment.
