Job summary

City Colleges of Chicago Foundation seeks a Manager to oversee CCCF programs and financial planning, providing portfolio-level budgeting, grant budgeting support, and data-driven insights to guide leadership decisions. Collaboration with PIs, foundation staff, and grants teams is essential to align budgets with fundraising goals and donor requirements.

Qualifications

  • Bachelor’s degree in Finance, Business Administration, or a closely related fundraising field.
  • Minimum of four (4) years of progressively responsible work experience in finance, data, research, program management, or grant management.
  • Experience managing program or grant budgets, ensuring fiscal compliance and/or general accounting structures for grants.
  • Experience working with grants, including reporting, compliance, and funder communications.
  • Demonstrated success implementing projects in a complex organization.
  • Working knowledge of public funding sources and the private philanthropic community.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal and group communication skills.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and collaboratively.
  • Ability to work effectively within a culturally diverse environment.
  • Must be proficient in data tracking and reporting tools (e.g., Salesforce, CRM systems, Excel, dashboards).
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams).

Responsibilities

  • Facilitates portfolio-level financial planning and ongoing monitoring of foundation funded program budgets and campaigns.
  • Partners with PIs and Foundation team to design, develop, and manage multi-year, multi-million-dollar program budgets.
  • Forecasts program spend rates, monitors spend-down timelines, and identifies risks of underutilization or overextension of funds.
  • Provides regular analysis and strategic recommendations to Foundation leadership regarding funding gaps and budget adjustments.
  • Tracks, synthesizes, and updates financial information related to priority fundraising campaigns for leadership reporting.
  • Assists in development and preparation of proposal budgets for new and renewal grant opportunities.
  • Advises on financial terms, performance periods, and budget frameworks for grant agreements.
  • Supports development of financial sustainability and continuation strategies for grant-funded programs.
  • Participates in cross-functional planning for district-wide grant applications and major fundraising initiatives.
  • Coordinates with grants management on required reporting, ensuring accuracy and compliance.
  • Manages grant modifications, no-cost extensions, and closeouts with financial integrity.
  • Maintains current understanding of fund balances, expenditures, and grant activity for reconciliation and planning.
  • Develops and maintains financial tracking tools and dashboards using Salesforce and other systems.
  • Supports financial components of impact reports and leadership briefings.
  • Identifies opportunities to improve planning processes and cross-functional coordination.
