Qualifications

• Experience in construction, fleet maintenance, or heavy equipment industry preferred.
• Proficiency with CMMS or scheduling software systems (ideal).
• Strong organizational skills with the ability to manage multiple work orders and priorities at once.
• Excellent written and verbal communication skills; able to work collaboratively across departments.
• Proficiency with Microsoft Office (Excel, Word, Outlook).

Responsibilities

• Manage the Preventative Maintenance Program, including receiving repair requests, scheduling work, preparing cost estimates, and communicating updates.
• Enter repair details into the maintenance management system (CMMS); log parts, attach work orders and vendor quotes, and track repair status.
• Assign technicians to work orders, monitor timelines, and ensure job instructions include safety requirements, PPE, and necessary tools.
• Confirm repair completion and verify that documentation and service records are accurate and complete.
• Coordinate third-party vendor repairs, secure estimates, and monitor vendor performance.
• Source and order parts, hardware items, and other materials required for servicing, repairing, and maintaining equipment and vehicles.
• Ensure receipt, accurate charges, and delivery of requested items; inputs, updates, maintains records accordingly.
• Monitor shop inventory and reorder as necessary, suggest changes in inventory items/stock levels as needs change.
• Establish and maintain relationships with outside vendors and company personnel at all levels.
• Arrange distribution of parts, parts kits and supplies to mechanics, job sites etc.
• Collaborate with operations leadership and the equipment division to plan and adjust work orders based on schedules and priorities.
• Build and maintain professional working relationships with internal customers, vendors, and suppliers.
