Biltmore Workforce Management is seeking a Mail Services Manager to direct the daily mail services operations, align with USPS regulations, and drive efficiency. You will manage vendors, carriers, permits, and the annual budget while leading a team in a fast-paced environment.

The role requires strong leadership, interpersonal skills, and a track record of managing mail/shipping workflows. On-site work with coordination across internal partners and external service providers is expected.

Qualifications

  • Minimum education: 2-year degree in business or hospitality management
  • Minimum experience: 2 years in mailing/shipping; 2 years in leadership
  • Knowledge of FEDEX, USPS, UPS, BCC Bulk Mail software systems
  • Strong leadership, relationship-building, and technical skills
  • Able to work in a fast-paced environment with professionalism under pressure
  • Education preferred: 4-year degree in business or hospitality management
  • Experience preferred: 4+ years in mailing/shipping and 4+ years in leadership (4–6 people)

Responsibilities

  • Direct operations and workflow for the mail services team
  • Coordinate with USPS, FEDEX, UPS, AMAZON, freight companies, and local carriers
  • Support and provide opportunities for staff growth and development
  • Build relationships with internal partners, vendors, and delivery drivers
  • Maintain permits, licenses, leases, and maintenance contracts
  • Execute the annual strategic plan and expense budget
  • Resolve mail/shipping issues and answer queries
  • Manage administrative duties: inventory, invoices, payroll, safety inspections
  • Purchase/lease mail room equipment to comply with regulations
  • Interview, hire, and train new employees (OJT)

Job DescriptionThe Mail Services Manager effectively leads the daily operations for each of the specialized service areas making up the Mail Services department. The Employee will uphold mail room best practices aligned with USPS regulations and mailing/shipping industry standards in order to meet financial goals and drive efficiency. They will negotiate the purchase or lease costs for mail room equipment and keep software licenses and postal permits up-to-date.The Employee must have strong interpersonal and leadership skills and function well in a fast paced environment. The Mail Services Manager is responsible for setting clear objectives for the Mail Services Team; managing their performance, workload, and scheduling. They will work with internal departments throughout the company to plan and coordinate projects and services, as well as maintain external vendor and business relationships.The Mail Services Manager will align their actions with Biltmore's core values; ensuring impeccable service, maintaining safe and efficient environments and equipment, cultivating growth and development plans, properly managing expenses, and continually striving for improvement.Essential Job Duties:1. Carry-out administrative duties: inventory and supply ordering, invoices, reports, employee evaluations, payroll, safety inspections, etc.9. Purchase or lease mail room equipment as needed to comply with postal regulations10. Interview, hire and oversee OJT training of new employeesQualifications:1. Minimum Education Requirements- 2 year Degree- Business or Hospitality management2. Minimum Experience Requirements- 2 years working in the Mailing/Shipping Industry, 2 years of Leadership- preferably leading a team of at least 3-4 people3. Knowledge Requirements- FEDEX, USPS, UPS, BCC Bulk Mail software systems4. Skills Required- leadership, relationship/people, computer, mechanical, quick thinking5. Abilities Required- be flexible, work at a fast pace, remain professional under pressure6. Education Preferred- 4 year Degree- Business or Hospitality management7. Experience Preferred- 4 years working in the Mailing/Shipping Industry, 4 years of Leadership- preferably leading a team of at least 4-6 peopleRequired Certifications (if any): None are required at time of hireMailing Industry Certifications can be earned while on the job- some examples are Certified Mail Manager (CMM), Executive Mail Center Manager (EMCM), Mail Design Professional (MDP), Certified Direct Mail Professional (CDMP)Physical Requirements:1. Driving2. Bending, sitting, lifting- in office and in vehicles3. Carrying up to 35 lbs at a time, daily4. Warehouse/office work environment5. Work is both indoors and outdoors6. Move up to 2000 lbs at a time for short distances, using equipment7. Good manual dexterity needed for computer work, folding, stuffing, sealing
