Job summary

LSMA Management, Inc. is seeking a Mail Processing Clerk to organize, classify, and maintain patient and provider communications and ensure timely delivery to the USPS. The role requires accuracy in printing and processing outgoing mail in compliance with HIPAA and organizational standards.

You'll support multiple areas including Utilization Management, Care Management, and Claims, with emphasis on attention to detail, data entry, and adherence to signed workflows and mailing protocols.

Qualifications

  • High School diploma or equivalent required.
  • Experience with common computer systems (Word, Outlook) encouraged.
  • Preferred: 1 year of EHR mail or indexing experience.
  • Experience in HIPAA-regulated healthcare environments preferred.
  • Certifications such as RHIT/CHDS/CMAA are a plus.

Responsibilities

  • Organize and maintain patient and provider communications.
  • Ensure timely delivery to the USPS and accurate processing of outgoing mail.
  • Follow structured workflows and mailing protocols.
  • Maintain confidentiality and comply with HIPAA regulations.
  • Support Utilization Management, Care Management and Claims teams as needed.

JOB SUMMARY

The Mail Processing Clerk is responsible for organizing, classifying, and maintaining patient and provider communications and ensuring timely delivery to the United States Postal Service (USPS). This role ensures that all outgoing physical communications are accurately printed and processed to the appropriate recipients in compliance with regulatory and organizational standards. The Mail Processing Clerk supports various operational areas including but not limited to Utilization Management, Care Management, and Claims.

The Mail Processing Clerk is responsible for organizing, classifying, and maintaining patient and provider communications and ensuring timely delivery to the United States Postal Service (USPS). This role ensures that all outgoing physical communications are accurately printed and processed to the appropriate recipients in compliance with regulatory and organizational standards. The Mail Processing Clerk supports various operational areas including but not limited to Utilization Management, Care Management, and Claims.

Requirements

MINIMUM & PREFERRED QUALIFICATIONS

Education/Training

Minimum: High School diploma or equivalent.

Preferred: Training, coursework, or certification in health information management, medical records, or related field.

Experience

Minimum: General experience with common computer systems (i.e. Microsoft Word, Outlook, etc).

Preferred: At least one year of EHR mail or indexing experience. Experience working in a HIPAA-regulated healthcare environment. Previous experience with document management or healthcare scanning/indexing systems.

Any combination of educational and work experience that would be equivalent to the stated minimum requirements would qualify for consideration of this position.

Certification(s)

Registered Health Information Technician (RHIT), Certified Healthcare Documentation Specialist (CHDS), and/or Certified Medical Administrative Assistant (CMAA) preferred.

Physical, Mental & Environmental Requirements

The physical, mental, and environmental demands described here are representative of those required to successfully perform the essential functions of this job. This position requires the ability to remain standing for extended periods while operating the mail processing machines, along with frequent repetitive motions such as typing, clicking, and handling documents. The role may occasionally require lifting items weighing up to 25 pounds, such as files or office supplies. Successful performance requires sustained attention to detail, strong focus, and the ability to maintain mental concentration over long durations. Work is typically performed in a standard office or clinical administrative environment and may involve regular exposure to confidential health information. Additionally, the position requires the capacity to manage stress associated with deadlines, high-volume workloads, and the fast-paced nature of health information operations.

PAY RANGE

$22.00 - $24.00 / hourly
