Job summary

State Compensation Insurance Fund is seeking a Mail Operations Supervisor in Solano County to lead Vaccaville/Legal Local Mail operations onsite. The role involves supervising frontline staff, ensuring accurate mail processing, and meeting service level agreements.

  • Maintain quality control, secure mailroom access, and shipment logging.
  • Comply with USPS policies, reduce costs, complete end-of-day checklists.
  • Maintain infrastructure supporting Vacaville Mail Operations and Legal Local Mail.
  • Monitor production and present weekly metrics to management.

Job Description And Duties

About The Role
  • Provide frontline supervisory leadership for Vacaville Mail Operations and Legal Local Mail, ensuring secure, accurate, and timely processing of all incoming and outgoing mail.
  • Lead and support essential onsite employees; set clear expectations; delegate daily and weekly tasks; and ensure service level agreements are met.
  • Serve as subject matter expert and regularly operate high-speed inserters and other mail equipment (folding, metering, and related machinery).
  • Ensure quality control procedures are followed for all checks prior to mailing; maintain secure mailroom access and shipment logging; oversee preparation of outgoing shipments.
  • Maintain compliance with all mandatory USPS policies and procedures; leverage postal initiatives to reduce operational costs; ensure end-of-day checklist completion and sign-off.
  • Maintain the administrative infrastructure that supports Vacaville Mail Operations and Legal Local Mail (procedures and job aids, production metrics, postal resources, inventory, reporting).
  • Monitor production operations and provide weekly metrics to management; present operational summaries during leadership meetings.

  • Analyze workflow issues and allocate/delegate work; design, plan, and implement policies, procedures, and workflows.

  • Resolve sensitive issues and manage multiple projects and tasks; work independently and as part of a team.
  • Communicate professionally and effectively, verbally and in writing, with stakeholders; prepare accurate reports for internal and external audiences.

Special Requirements

Effective July 1, 2025, the State of California implemented the Personal Leave Program 2025 (PLP 2025) which reduces an employee’s monthly salary in exchange for leave credits. Employees appointed to this classification will have their monthly salary reduced and will accrue hours of PLP 2025 on the first day of each pay period in accordance with the applicable bargaining contract.
