Job Summary

Chelsea Skin & Laser is recruiting for a Medical Assistant Supervisor with the intention for the hired individual to be promoted to Clinical Manager once performance expectations are consistently met. This is a two-phase role. The individual will begin in the Medical Assistant Supervisor position and, upon demonstration of competency, leadership, and initiative, will transition into the Clinical Manager role.

The Clinical Manager role will carry expanded responsibilities and strategic oversight, with a continued emphasis on clinical excellence, staff development, and practice growth.

[Phase 1] – Medical Assistant Supervisor

The Medical Assistant Supervisor is responsible for planning, coordinating, directing, and -in conjunction with administrative leadership- overseeing clinical personnel at CSL. They are to ensure cost effective, efficient management of clinical operations while promoting a patient-centric environment with strong teamwork, communication and cooperation among staff and providers.

The Medical Assistant Supervisor will apply management and organizational theories to supervise and train employees. The Medical Assistant Supervisor will manage the daily activities of the clinical support staff ensuring proper coverage in all areas. The successful Medical Assistant Supervisor will be a team player and respectful of all staff, and will exhibit values of integrity, innovation, and compassion.

The Medical Assistant Supervisor will also serve as a Medical Assistant, both regularly scheduled, and as needed in case of staffing shortages.

Responsibilities:

Personnel-

  • Direct staff to reach maximum clinic efficiency while developing a culture of team spirit
  • Interview in conjunction with administrator to select, orient, train, supervise and evaluate (with input from providers) MA staff. Find quality fit to office culture.
  • Admin starts process reviews CV and prelim interview, checks references, then clinical manager will be present during in person meeting to assist in decision making.
  • Training of new MA/intern staff, directly following the MA manual. Schedule and ensure initial and annual updates to training of all MA/intern staff. Responsible for reporting to owner/other leadership on progress of training on a weekly basis of new hires.
  • Complete written reviews bi-annually for MA staff. Practice Administrator will update written review as necessary and decide merit bonuses. During review presentations, Lead MA will be present but Practice Administrator will take the lead.
  • Oversee all MA task completion
  • Oversee prior authorizations and designation of who on staff will be overseeing
  • Review all MA team outstanding TE's on a weekly basis to make sure they are completed in a timely fashion. Lead MA to reroute, or handle TE's when MA staff member is out
  • Reassigning duties for vacation and PDO. Enter duties in ECW, communicate w/ staff and be sure duties have been done. If not, complete them.
  • Adjust schedule for coverage and lunches.
  • Manage transition of care for patients and practitioner switch at lunchtime
  • Check rooms daily for stocking either before patient day starts or after patient day ends
  • Order medical supplies
  • Oversee MAs to be sure the quality of work is consistent

Clinical Operations-

  • Ensures the practice work environment is clean, efficient, and consistent with usual standards for the rendering of medical services.
  • Assist providers in delivery of patient care (as an MA themself) and provide support for office efficiency.
  • Liaison between MAs, providers, owners, and other leadership
  • Be flexible with schedule when unexpected staff shortages occur. For example, Lead MA shortens lunch to be first MA back on the floor to assist with a provider's afternoon schedule, when necessary.
  • Perform as Patient Advocate for the practice, assisting with clinical issues and triaging billing or clerical issues to the appropriate team member.
  • Keep the Practice Administrator informed of any issues affecting practice operations.
  • Meet with Practice Administrator at least once a month to provide updates on clinic operations.
  • When appropriate, receiver of patient complaints and manage dissatisfied patients to come to a resolution consulting upper management when necessary. Work with Administrator when appropriate.
  • Review schedule daily for patient flow. Provide or arrange back-up for MA staff as needed. Maintain smooth operation of appointments, pre-care, intake, visit, aftercare.
  • Understand, maintain, and improve standards pertaining to quality assurance, patient confidentiality and customer care.
  • Update MA manual regularly as needed.
  • Interface with drug reps when possible for new information so practitioners don't have to do anything but sign. Monitor sample supply and maintain.
  • Establish and maintain a team approach with staff, other admin.
  • Maintain a confidential and professional manner in all aspects of personnel management.

Qualifications:

  • Minimum of five years clinical work experience in a medical office or equivalent working experience as a medical assistant
  • One to two years management or supervisory experience
  • Minimum of one year experience in dermatology/plastic surgery desirable

Pay:

  • $31-$35 per hour based on experience

Transition to Clinical Manager

  • The transition from Lead Medical Assistant to Clinical Manager is contingent on demonstrated performance and approval by the administrative team. The promotion will be based on evaluations that measure leadership, problem-solving, efficiency, communication, team cohesion, and initiative. Typical timeline: 6–12 months, depending on performance.
  • Indicators for Readiness Include:
  • Consistent, successful oversight of daily clinical operations
  • Proactive resolution of workflow issues and staff concerns
  • Ability to manage and elevate team morale and communication
  • Demonstrated initiative in improving systems and processes
  • Strong collaboration with the Practice Administrator and Providers
  • Ability to represent CSL’s values in all interactions

[Phase 2] – Clinical Manager Job Description

The Clinical Manager is responsible for overseeing the full scope of day-to-day clinical operations and personnel management at Chelsea Skin & Laser. Serving as the primary liaison between clinical staff, providers, and administration, the Clinical Manager aligns clinical performance with the long-term goals of the practice. Upon transitioning into this role, an additional Medical Assistant will be hired to provide in-room support to providers, allowing the Clinical Manager to focus on optimizing patient flow and coordinating care outside of exam rooms. The Clinical Manager ensures that the clinical team delivers high-quality care, maintains regulatory compliance, and operates efficiently, all while fostering a professional, respectful, and growth-oriented work environment.

**All the responsibilities of the Medical Assistant Supervisor listed above will be maintained. In addition to the responsibilities assumed as a the Medical Assistant Supervisor the following responsibilities will need to be taken on once the role of Clinical Manager is assumed:

Responsibilities:

Strategic Oversight-

  • Develop and implement long-term strategies to improve clinic workflow, staffing, and patient experience
  • Analyze and optimize systems and protocols for efficiency, quality, and cost-effectiveness
  • Collaborate with leadership on operational improvements and patient care initiatives
  • Lead quality assurance efforts across clinical functions

Leadership & Staff Development-

  • Be acutely aware of patient flow and make directing flow a top priority at all times.
  • Mentor, train and support the clinical team.
  • Conduct performance reviews, develop performance improvement plans, and lead staff development initiatives
  • Lead regular clinical staff meetings and communicate practice updates
  • Foster a culture of accountability, trust, and professional growth

Operational Management-

  • Ensure regulatory compliance including OSHA, HIPAA, and clinical quality standards
  • Manage clinic inventory, budgets related to clinical operations, and vendor relationships
  • Serve as point of contact for provider support needs and ensure clinical staff alignment with provider workflows
  • Work with Practice Administrator to develop staffing models, job descriptions, and cross-training plans
  • Act as a partner to the Practice Administrator in strategic planning and HR coordination
  • Provide regular operational and clinical updates to the ownership team
  • Collaborate with the front office, billing, and other departments to maintain seamless patient care

Pay:

  • $85,000-$95,000 based on experience
